Job Description
Procurement Planning:
Develop and implement procurement strategies aligned with the organization’s objectives. Collaborate with departments to forecast procurement needs and establish annual procurement plans. Identify cost-saving opportunities by consolidating purchasing requirements.
Vendor Management:
Source and evaluate new suppliers, ensuring compliance with company standards and policies. Negotiate terms and conditions, including pricing, payment terms, and delivery schedules, to achieve favorable agreements. Maintain and update a vendor master database, ensuring accuracy and completeness. Conduct periodic vendor performance reviews and develop corrective action plans when necessary.
Purchase Order Management:
Review and approve purchase requisitions and ensure timely issuance of purchase orders (POs). Monitor PO progress and ensure adherence to agreed terms and timelines. Resolve issues related to delayed or incorrect deliveries, liaising with vendors as necessary.
Compliance and Documentation:
Ensure procurement processes comply with company policies and UAE regulatory requirements. Maintain detailed records of procurement activities, including contracts, invoices, and vendor correspondences. Assist in the preparation of procurement-related audit documentation.
Cost Control and Reporting:
Monitor procurement expenditures and provide regular reports on cost savings and budget adherence. Analyze procurement data to identify trends, inefficiencies, and areas for improvement. Collaborate with the finance team to reconcile procurement expenses with the budget.
Collaboration with Finance:
Work closely with the finance team to align procurement strategies with working capital objectives. Provide detailed procurement cost breakdowns for management reporting and analysis. Ensure timely submission of procurement documentation for VAT compliance and audit purposes.
System Optimization:
Contribute to the implementation and enhancement of procurement modules within ERP systems. Automate routine procurement processes to improve efficiency and reduce errors.
Inventory Oversight:
Monitor and manage inventory levels to prevent overstocking or shortages. Coordinate with operations teams to ensure timely availability of critical supplies. Conduct regular inventory reconciliations and assist in cycle counts.
