We currently have an exciting opportunity for a Senior Executive Secretary to join our HR (Compensation & Benefits) team.In this role, you will ensure the smooth running of the SVP HR (C&B)’s office and wider Department by providing full secretarial services, handling all administrative responsibilities and providing ad-hoc project support.
Job Outline:
· Be fully conversant with the activities of the Department in order to liaise, on behalf of the Senior Vice President, with direct reports, the other senior section heads and Departments.
· Receive and assess incoming mail and, as appropriate, respond directly on routine matters, re-direct or put forward to the Executive, where necessary obtaining supporting information.
· Provide secretarial services to the Senior Vice President by attending to routine administrative paperwork.
· Deal with incoming telephone calls referring to the executive only where essential and acts as a focal point and filter for visitors.
· Manage the diary and schedule appointments, co-ordinate travel and accommodation arrangements.
· Supervise an assistant on a day to day basis, setting accountabilities and monitoring deliverables.
· Handle the invoicing and accounting matters of the Department. Assist with the preparation of and regular review of the Department's budgets. Arrange for receipt, vetting, approval, payment of all bills.
· Take care of the acquisition, maintenance and replacement of office assets and equipment.
· Undertake a variety of special projects, involving internal and external research and liaison, on behalf of and within guidelines provided by the Senior Vice President.
