**Liaise with relevant stakeholders to ensure all
operational and tenancy coordination tasks are performed in an efficient
manner.
**Manage all administrative tasks with all stakeholders,
from coordinating the kick-off meeting to submitting the fit-out close-out
documents.
**Maintain updated files, drawings, trackers and reports for
each unit under fit-out.
-Maintain project documents including but not limited to
tenants’ design documents, tenants’ site activities and progress, necessary
authority related documents.
-Prepare weekly report in coordination with design and
delivery team on the overall fit out status for all assets to be shared with
Retail Property Management and Retail Leasing departments.
-Ensure the required insurance policies and associated
documents are documented and necessary copies obtained are saved before, during
and at completion of the fit out.
-Implement and uphold all organizational policies and
procedures within the department.
-Prepare and maintain records of internal and external
communications.
-Initiate all the preparation and processing of quotations,
PRs (Purchase Request vide Oracle), Work Instructions, Invoices: Form
recording, collating of supporting documents, preparation of all related
templates, circulation of necessary sign-off/approval for onward submission to
finance. Assist in follow up of payments. limited to RDD scope in the new
devolvement / redevelopment.
-Initiate drafting of all written materials e.g. operations
and project related correspondence, reports, memos, letters, forms, schedules,
warning notices to tenants with Delays and minutes of meeting for the purpose
of documenting activities.
-Providing written reference and/or conveying information,
reminders and instructions.
-Responsible in the distribution and circulation of
incoming/outgoing documents.
-Interact with FM, Mall, IT, Procurement teams in order to
coordinate works during Retail design and delivery requirements.
-Communicate with business stakeholders as necessary.
-Coordinate the Handover meetings, official meetings and Entity:
__________________________ Date:_______________ organization of activities as
per department plan.
Bachelor’s degree or equivalent is required
-Proficient in Microsoft Office.
-Knowledge in Yardi, Salesforce and Oracle.
-Other skills will be an advantage.
-Excellent customer service skills.
-Excellent troubleshooting skills.
-Outstanding interpersonal, time management and customer
service skills.
-Ability to work under pressure.
-Advanced oral and written English communication skills.
-Arabic is advantageous.
Minimum 3 - 5 years of experience in a similar role.
