Job summary



MISSION:



The Sales & Proposal Officer provides high-level administrative and operational support to the commercial department. And shall be a highly organized and detail-oriented person to support our commercial team. The ideal candidate will manage day-to-day administrative tasks, maintain accurate records, support contract management, and assist in the smooth operation of business activities.
The Commercial Administrator will report directly to the Commercial Manager.

KEY RESPONSIBILITIES:



Coordination of the activities on the Sales department: + Respond to customer inquiries, resolve issues, and ensure the smooth flow of communication between the commercial team and customers.
+ Ensure timely communication and coordination to meet business objectives.
Qualifications activity: + Organize, prepare and keep updated the commercial material such as, company profiles, reference list, organisation charts etc.
+ Keep an updated record of the existing qualifications.
+ Follow up the existing qualifications and keep them active.
+ Apply for new qualifications as required by the commercial management and follow up until obtainment of the result.
Proposal management: Assist in preparation of tender documents and proposals. + Maintain accurate records of the sales activity,
+ Monitor proposal deadlines and ensure that all relevant departments adhere to submission timelines.
+ Manage and oversee the preparation of the offers, documents and tenders
+ Coordinate with various internal departments to gather information needed for proposals.
+ Assist in the preparation, formatting, and submission of proposals, bids, and tenders.
+ Ensure that proposal documentation is accurate, complies with company guidelines, and is submitted on time.
+ Review proposals for consistency, accuracy, and compliance with client specifications.
Contract archive and monitoring + After a contracts award, file and archive all the information received.
+ Arrange kick off meetings with the internal departments for sharing the contract’s information to the operation department.
+ Maintain an organized system for tracking the status of any active contract, with particular regards for expiring dates and contract value capacity.
Managing the agent’s fee + Keep the communication with the agents for the fee payments
+ Keep record of the agency fee payments.

QUALIFICATIONS & SKILLS:



Education: Bachelor’s degree in business administration, commerce, or a related field is preferred. Experience: Experience in a commercial, sales administration, or contract management role is preferred. Skills: + Strong organizational and multitasking abilities
+ Excellent communication and interpersonal skills
+ Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
+ Attention to detail and accuracy in document handling
+ Ability to work under pressure and meet deadlines
+ A fluent knowledge of English language is required
Knowledge: + Understanding of contract management, commercial law, and business operations is an advantage.
+ Knowledge of prequalification systems such as ARIBA and SupplHi is preferred
