Job Summary: We are seeking a highly organized and motivated Sales Coordinator with a minimum of 5 years of experience in administrative, sales, or tendering roles, including at least 3 years in the GCC region. The ideal candidate will have a proven track record in client service or preparing tenders, pre-qualifications, and technical submittals. Experience in the manuracturing, engineering, construction or contracting industry is preferred. Strong proficiency in the MS Office suite, particularly Microsoft Excel, is essential, and familiarity with ERP software is beneficial. The candidate should possess excellent written and verbal communication skills, along with the ability to manage multiple tasks and priorities effectively in a fast-paced environment.


The Sales Coordinator will be responsible for managing the CRM system, coordinating lead and tender processes, and providing comprehensive administrative support to ensure the sales team's efficiency. Additionally, they will oversee project logistics, client communications, and maintain high-quality standards in documentation and submissions.


Key Responsibilities:


CRM System Management:


  • Oversee the full management of the CRM system to ensure data accuracy and integrity.
  • Implement process compliance within the sales team, ensuring adherence to CRM protocols.

Lead Management and Delegation:


  • Allocate and prioritize leads within the sales team to optimize conversions.
  • Monitor lead progress and provide feedback to the team for continuous improvement.
  • Liaise between team and management to update on lead status and follow-up actions.

Tender and Enquiry Administration:


  • Support the preparation and submission of tenders, ensuring accuracy and adherence to client requirements.
  • Manage enquiry pipelines to maintain an organized and efficient tender process.
  • Collaborate with the sales team to create competitive and comprehensive tender documents.

Project Coordination:


  • Coordinate full-cycle project tasks, ensuring timely and effective client communications.
  • Manage scheduling and logistics to ensure smooth project execution.
  • Handle all documentation and administrative tasks related to live projects.

PQ Preparation and Vendor Registration:


  • Assist the sales team in preparing Pre-Qualification (PQ) documents for client evaluation.
  • Accurately fill out vendor registration forms based on client-specific requirements.
  • Collect and organize all necessary documents required for vendor registration.
  • Liaise with the releavant departments to gather necessary information for submissions.

General Administrative Support:


  • Offer comprehensive administrative support to the sales team, coordinating meetings and communications.
  • Maintain records and documentation to support sales initiatives.
  • Handle day-to-day administrative tasks to ensure the sales team operates efficiently.

Qualifications and Experience:


  • 5 years of experience in administrative, sales, or tendering roles.
  • Minimum of 3 years' work experience in the GCC region.
  • Previous experience in a client service role or in preparing tenders, pre-qualifications, and technical submittals.
  • Experience working in manuracturing, engineering, construction or contracting industry is preferred.
  • Proficient with the MS Office suite, including a high-level working knowledge of Microsoft Excel; ERP software experience is beneficial.
  • Solid communication skills, both written and verbal.
