Job Title: Receptionist (UAE Nationals only)

Location: A Private School in Al Ain, UAE

Job Summary:

The Receptionist at School plays a vital role in providing an exceptional first impression for students, parents, staff, and visitors. This position requires excellent interpersonal and organizational skills, as well as a proactive approach to handling day-to-day administrative tasks in a busy school environment.

Key Responsibilities:


  1. Front Desk Management


    • Greet and welcome visitors, students, and parents, providing assistance and answering inquiries in a warm and professional manner.
    • Maintain security by monitoring visitor sign-in/out processes and issuing visitor badges as required.
  2. Communication


    • Answer and direct phone calls, take messages, and respond to emails promptly.
    • Communicate effectively with staff, students, and parents, ensuring information is shared accurately and promptly.
  3. Administrative Support


    • Manage student attendance records, including late arrivals and early departures, and report any irregularities to the appropriate staff.
    • Assist with scheduling appointments, meetings, and tours of the school for prospective families.
    • Coordinate mail distribution, handle incoming/outgoing packages, and manage office supplies inventory.
  4. Student and Parent Support


    • Provide support to students in need of minor assistance, such as forgotten items or basic first aid (following proper school protocols).
    • Assist parents with information on school events, schedules, and any other relevant inquiries.
  5. Record-Keeping and Data Entry


    • Maintain accurate records in school databases, including contact details, visitor logs, and emergency contacts.
    • Assist with preparing reports, presentations, and other documents as needed.
  6. Event and Activity Coordination


    • Help organize and coordinate school events, such as parent-teacher meetings, assemblies, and special activities.
    • Manage the reception area, ensuring it is tidy, welcoming, and stocked with up-to-date information materials.

Requirements

Qualifications:


  • High school diploma or equivalent; additional qualifications in administration or related field are a plus.
  • Proven experience as a receptionist, administrative assistant, or similar role.
  • Excellent communication and interpersonal skills, with a friendly and approachable demeanor.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and basic knowledge of school management software.
  • Ability to multitask, work under pressure, and maintain confidentiality.

Preferred Skills:


  • Previous experience working in a school or educational setting.
  • Basic knowledge of first aid (certification is a plus).
  • Strong organizational and time-management skills.
Working Hours:

Full time contract with flexible working hours.
