The Receptionist at School plays a vital role in providing an exceptional first impression for students, parents, staff, and visitors. This position requires excellent interpersonal and organizational skills, as well as a proactive approach to handling day-to-day administrative tasks in a busy school environment.
Key Responsibilities:
Front Desk Management
Greet and welcome visitors, students, and parents, providing assistance and answering inquiries in a warm and professional manner.
Maintain security by monitoring visitor sign-in/out processes and issuing visitor badges as required.
Communication
Answer and direct phone calls, take messages, and respond to emails promptly.
Communicate effectively with staff, students, and parents, ensuring information is shared accurately and promptly.
Administrative Support
Manage student attendance records, including late arrivals and early departures, and report any irregularities to the appropriate staff.
Assist with scheduling appointments, meetings, and tours of the school for prospective families.
Coordinate mail distribution, handle incoming/outgoing packages, and manage office supplies inventory.
Student and Parent Support
Provide support to students in need of minor assistance, such as forgotten items or basic first aid (following proper school protocols).
Assist parents with information on school events, schedules, and any other relevant inquiries.
Record-Keeping and Data Entry
Maintain accurate records in school databases, including contact details, visitor logs, and emergency contacts.
Assist with preparing reports, presentations, and other documents as needed.
Event and Activity Coordination
Help organize and coordinate school events, such as parent-teacher meetings, assemblies, and special activities.
Manage the reception area, ensuring it is tidy, welcoming, and stocked with up-to-date information materials.
Requirements
Qualifications:
High school diploma or equivalent; additional qualifications in administration or related field are a plus.
Proven experience as a receptionist, administrative assistant, or similar role.
Excellent communication and interpersonal skills, with a friendly and approachable demeanor.
Proficiency in MS Office Suite (Word, Excel, PowerPoint) and basic knowledge of school management software.
Ability to multitask, work under pressure, and maintain confidentiality.
Preferred Skills:
Previous experience working in a school or educational setting.
Basic knowledge of first aid (certification is a plus).
