Receptionist (Emirati National)

As part of the admin team, the role is responsible to manage the front desk.
Greet and welcome visitors and ensure they are directed to proper meeting room and handover visitor access cards as required. Receive, screen and direct all calls to appropriate department. Deal with queries as received from external customers, clients. Demonstrating safety procedures, ensure all are aware of safety measures inside office premises. Organize meeting room diaries. Manage couriers, coordinate and prepare shipments for pick-up and delivery. Coordinating with DHL requesting quote as required, preparing proper documentations (such packing list, invoice and airway bill to ensure no hold of shipment in custom. Tracking of courier as needed. Handle all incoming and outgoing posts/mails and couriers (logbook entry). Maintain adequate office supplies and stationeries. Handling of admin petty cash for day to day office admin transactions and claims. Carry out facility management of the office premises (lights/doors/faucet/coffee machines etc.) Addition and deletion staff access card. Lunch arrangement for meetings & training hosted in Marina & Al Quoz office. Informing staff of their food arrival. Requesting HR approval for HCL site engineer visit to office in weekly basis. Coordinates with contractor/supplier for office maintenance such as equipment maintenance, and electrical maintenance, carpentry, and pest control and some IT related matter. Organize and schedule meetings and events as required. Carry out some clerical duties like printing, preparing documents, and taking signatures as required. Monitoring office driver & designate work as needed. Provide support to Admin team as when and required. Performed various secretarial/clerical duties such as documenting, photocopying, mailing, and organizing filing system. Undertake general administrative duties as maybe required from time to time.
Experience
Minimum High School Certificate. College / University degree will be preferred Relevant experience to manage front desk / receptionist responsibilities Highly customer service oriented Proficient in using MS Office Tools / Outlook email system* Proficiency in English communication skills, both written and spoken
