The Real Estate Admin plays a crucial role in supporting the operations of a real estate agency. This position is ideal for individuals who possess strong organizational skills and a keen attention to detail. The Real Estate Admin will be responsible for managing property listings, assisting with client inquiries, and ensuring that all administrative tasks are completed efficiently. This role requires a proactive approach to problem-solving and the ability to work in a fast-paced environment.

Responsibilities:

  • Manage and update property listings on various platforms and ensuring its accuracy and quality before publishing.
  • Monitoring the availability and inventory of properties, ensuring accuracy and completeness.
  • Coordinating with real estate developers to request marketing collateral and necessary documentation.
  • Organizing and maintaining digital assets, including filing and taking backups.
  • Updating permits and broker cards via the Trakheesi website.
  • Managing the order and inventory of office stationery and pantry supplies.
  • Handling bills, invoices, and expenses, and liaising with the accountant as required.
  • Maintain accurate records of transactions and client interactions.
  • Handle the registration process with real estate developers and property portals.
  • Managing WhatsApp groups with different developers and for internal communication and client updates.
  • Prepare and distribute marketing materials for properties.
  • Managing office equipment access such as printers, wifi, and biometrics, and liaising with the IT for troubleshooting.
  • Assigning and retrieving laptops, tablets, and mobile phone access cards for new and departing employees.
  • Assist clients with inquiries and provide information about available properties.
  • Support real estate agents with administrative tasks and scheduling.
  • Ensure compliance with local real estate regulations and policies.
  • Handle correspondence and communication with clients and vendors.
  • Assist in the preparation of contracts and other legal documents.


Qualifications:

  • Excellent communication and interpersonal skills.
  • Proficiency in real estate software and Microsoft Office Suite.
  • Ability to work independently and as part of a team.
  • Detail-oriented with a focus on accuracy.
  • Familiarity with Dubai real estate market trends.
  • Strong problem-solving skills and adaptability.
  • Ability to handle multiple tasks and prioritize effectively.
  • Strong customer service orientation.
  • Familiarity with social media marketing.
  • Ability to work under pressure and meet tight deadlines.
  • Bachelor’s degree or equivalent qualification preferred.
  • Fluency in English; knowledge of Arabic is a plus.
