Job Description

Make your mark as a Project Secretary at Horizon Geosciences!
The Project Secretary assists the Project Manager in day-to-day routine tasks as well as providing the administrational and other documents to be issued to clients and suppliers.


Your responsibilities as a Project Secretary


  • Assists Project Manager and coordinates with different department for any requests assigned by the PM specially during mob / demob of the projects.
  • Manages confidential files and records such as contracts / reports, procedure documents and etc.
  • Ensures necessary documentation filings and maintaining of records within the Department.
  • Handles purchasing required for the project.
  • Organizes diaries, travel/visa, client and third parties’ information, meetings, etc.
  • In-charge of the administration of outgoing faxes, letters, reports from the Project Manager.
  • Handles all mail duties, including overnight and courier/post services.
  • Provides full administrative assistance to the Project Manager.
  • Communicate with clients / agents / personnel on board and maintain good liaison.
  • Monitoring crew movements during mob / demob.
  • Preparation of client invoices to be reviewed by the Project Manager.
  • Facilitate collection / delivery of important document / items for the clients and assure that these are collected / delivered on time.
  • Prepares project safety statistics every first week of the month.
  • Verify supplier / third party invoices.
  • Submit reports and survey procedures to client.

Qualifications

Your qualities and experience
You can make your mark as a Project Secretary if you have:


  • Good in MS Outlook, Excel, and Word.
  • Secretarial Diploma or Similar Education.
  • Fluent in written and spoken English (as per the Horizon Communication Policy).
  • Conversant with equipment and software used within the Company

  • Your team: You will be part of the Geotech Projects Department.
  • Where you will work: You will be working in our office in SAIF Zone, Sharjah, United Arab Emirates.
  • Fulltime/ part- time job: The position of Project Secretary is a full-time job.
