Job Summary:
The Personal Assistant for Single Family Office will support secretarial and administrative proper functioning of the family’s personal and professional life, among other categories, as follows:
Key Responsibilities:
Arrange travel, including flights, ground transportation, lodging, dining, and other activities.
Maintain accurate and up-to-date records of all documents, logins, and functions on electronic storage systems such as Dropbox.
Create and format files, including letters, reports, presentations, spreadsheets, and other necessary documentation.
Assist in the management of certain tasks linked to the portfolio of properties internationally.
Handle administrative duties: scheduling appointments, checking emails, answering, and making phone calls.
Help to coordinate functions, events, and other activities.
Research and execute special projects.
Manage purchases and returns.
Support administrative functions of the office, including certain administrative and operational tasks such as registrations and database upkeep.
Maintain office supplies inventory, bills, and proper functioning of the office.
Proven experience as a personal or administrative assistant, secretary, or similar role.
Hands-on and adept at handling tasks specific to the U.A.E., including familiarity with local requirements, document processing and registration procedures.
Proficiency in Microsoft Office (Word, PowerPoint, Excel), with advanced skills in document formatting and editing.
Proficiency in using electronic storage systems such as Dropbox, Google Docs, Google Sheets, and Google Workspace in general.
Advanced English (speaking / reading / writing).
Excellent communication and interpersonal skills.
Strong organizational and time management abilities.
