Currently, we are looking for a passionate and energetic Operations Coordinator to be based in the Ocean Import Team. In this role, the successful candidate will act as key contact for allocated customers and handling their end to end inquiries from managing OFR operations to ensuring documents are completed and updated in a timely and efficient manner according to regulations and internal procedures and solving customer complaints


     

Key Responsibilities


 
  • Accepts orders (from customer or overseas office) and processes them for handover to Operations(align / communicate with network to execute OFR Import shipments)
  • Proactively informs customer on shipment status, exceptions and provides intermediate updates on incident solution and handles customer inquiries, e.g. Track and Trace
  • Implement and prioritize emergency and contingency plan on unexpected situations like peak inbound volumes.
  • Performs up- and cross-selling (inbound calls) for existing customers and passes on leads to Sales
  • Reviews reports (generated by the Performance Reporting & Exception Specialist) and sends them to internal Stakeholder
  • Ensure all OFR files are executed and completed in a timely manner by filing the required set of documents and accurately carrying out costing before handing over to finance team for billing with proper track & records and ensuring error free documentation with timely order processing thereby validating profitability.
  • Manage all internal / external complaints and drives solution by solving it directly or assigning tasks to other function. Acting as first contact point for customer claims; supports customer in notification and receipt of claims, provides DGF claims documents, collects required documents from claimant and hands over to specialized claims handlers when documents are complete.
  • Encourage the culture of feedback and collaborates with internal / external stakeholders to act on feedback and action accordingly.
  • Collaborates closely with other departments and internal & external stakeholders for smooth handling of import shipments and continuous updates like with Product, Network Stations, Suppliers, Global Service Centres, CFS and Port Authorities.
  • Execute customs requests in a timely manner.
  • Ensure all local / global milestones are updated on real time basis.
  • Having a continuous Improvement approach to any problems faced.
 

Job Skills, Qualifications & Experience:


   
  • One year of Experience in Ocean Freight or Customs Clearance
  • Undergraduate or Diploma in any discipline.
  • Good knowledge of OFR processes and MS office.
  • Ability to identify and meet customer needs in a pleasant and friendly manner
  • Cooperative working with others to achieve targets and objectives
  • Excellent communication and interpersonal skills.
  • Commercial aptitude
