Compliance:


Ensure compliance with all relevant safety and quality procedures and controls to guarantee compliance with PRP mandate, legislative compliance, and delivery of high-quality products/services.



PSMP technical tasks:


  • Assist technical staff in implement CAR - PSYCHOACTIVE SUBSTANCES MANAGEMENT PROGRAMME   policies, systems, processes, procedures and assist in conducting audits so that all relevant procedural/legislative requirements are fulfilled while delivering high quality safety services to the UAE civil aviation industry. Also assist in reviewing organizational training, manuals, policies and/or any PSMP related documents.
  • Assist technical staff in responding to customer queries to maintain high satisfaction levels. 
  • Assist technical staff to raise audit findings in Q-Pulse
  • Coordinate with the technical staff and organizations to schedule PSMP audit 
  • Maintain a comprehensive CAR - PSYCHOACTIVE SUBSTANCES MANAGEMENT PROGRAMME data base, including Designated Employee Representative information, annual audit schedules, and reported cases list. and update data when needed 

Communication  


  • Manage all inbound and outbound communications related to PSMP, including letters, mails, and announcements, in order to ensure that information is disseminated internally and externally in an accurate manner. 
  • Write and edit correspondence, utilising extensive knowledge of the organisation’s processes and procedures.
  • Communicate with key external and internal stakeholders to seek, furnish, and to follow up on essential required information. 

Reporting


  • Ensure that all functional reports are prepared timely and accurately and meet GCAA requirements and quality standards. 
  • Provide support in safety-related investigations, coordinating support where operational issues are relevant to the inspectors.
  • Process the licensing applications and ensure they are in line with the approved policies, standards and procedures.  

Document Management


  • Maintain a comprehensive record of relevant reports, recommendations and general documents to ensure an accurate record and evidence base.
  • Receive, classify, consolidate and/or summaries documents and information, maintaining records of documents processed according to standard procedures to facilitate the use by Management/Inspectors.
  • Investigate and research files and documents in order to establish or clarify facts required to progress queries raised internally or externally.
  • Maintain and organize the retention of approved manuals and other related documents for quick reference.
  • Maintain record of change for DER list and the audit finding 
  • Monitor all PSMP manuals change requests in Q-Pulse, and notify technical staff if needed. 

Safety Policy / Safety Promotion and Culture


  • Assist in the implementation of safety promotion activities to disseminate and nurture a safety awareness culture in the UAE civil aviation industry and to keep industry players abreast of changes to relevant rules, regulations and other aviation safety developments.

Administration of Sectional Correspondence and Customers


  • Insure that received complaints and grievances from applicants are properly logged and forwarded to subject matter expert. 
  • Prepare draft correspondence to operators with regard to various concerns and submit to the line manager for signature to ensure that all communications are properly and timely relayed to individual concerned.
  • Participate as necessary in the front office and customer office for any PSMP quires, to ensure that applicants and visitors are properly assisted in their business transaction with the department.
  • Communicate with organization regarding change requests on PSMP manuals if needed. 
  • Assist in the annual department budget calculation.

Sector Representation & Strategy Management


  • Assist the sector with coordinating and managing benchmarks
  • Administrate strategy requirements and inquiries.

Other Tasks/ Accountability 


  • Perform additional tasks relevant to the role / area of expertise as requested by the management to be able to achieve the objectives/commitments.
