Manages projects of varying complexity across the organization enabling the achievement of project deliverables and milestones that meet the defined standards, quality, and client requirements, while supporting a robust project management culture across Abu Dhabi Securities Exchange (ADX). Ensures project management best practices are followed for directly managed projects. Promotes proper project management culture across the organization, develops and manages roadmaps and budgets for projects meeting ADX strategic business objectives.


Key Accountabilities:

Policies, Systems, Processes & Procedures

  •  Provide input and implement policies, systems, and procedures for the assigned team so that all relevant procedural requirements are fulfilled.
  •  Promote the organization’s values and ethics in all activities within the team to support the establishment of a value drive culture within the organization.
  •  Demonstrate compliance with the organization’s values and ethics at all times to support the establishment of a value drive culture within the organization.

 

Project Planning & Resource Management  

  •  Lead the project planning process by establishing a project plan, communication plan, steering and working committee groups, stakeholder list, budgets, measurable deliverables, KPIs, etc. ensuring to define and agree with key stakeholders.
  •  Establish and communicate the right expectations from the project resources, coordinate team efforts toward project objectives, and provide support and guidance when required to create clarity and build ownership for the team while ensuring all members are aligned to the required project outcomes.
  •  Prepare project schedules and actionable plans to ensure effective project delivery and timely achievement of project objectives, aligning with organizational goals and stakeholder expectations.
  •  Manage the collaboration with the procurement team to ensure that projects are completed timely, within budget, and with available resources.
  •  Manage project-specific financials, including budget expenditure and financial reporting, to ensure accurate financial tracking for effective project completion within the allocated budget.

 

Project Management

  •  Monitor the overall implementation and progress of assigned projects and initiatives, in collaboration with the project managers, and identify dependencies and interdependencies to provide subject matter expertise and guidance and support the individual project/ program owners to manage schedules, KPIs as well as risk.
  •  Implement project management plans, processes, and methodologies across the assigned project, to ensure efficient and successful achievement of project objectives and goals.
  •  Evaluate and estimate project efforts during the initial stages of demand management, facilitating project planning and decision-making across projects.
  •  Adhere to PMO governance practices across assigned projects to establish and maintain effective alignment among stakeholders involved in projects as set by the Project Management Office.
  •  Execute document management activities, ensuring accurate, organized, and accessible project documentation across project lifecycles.
  •  Implement any changes or variations to the original project scope effectively, ensuring timely and seamless adjustment to the client's changing requirements, while meeting client expectations.
  •  Provide clarification to the project team specifying the benefits in the business case document during the project initiation phase, ensuring a comprehensive understanding of the project’s anticipated outcomes and value propositions.
  •  Supervise Dependency Management for projects, ensuring effective identification, tracking, and resolution of dependencies to enhance project success.
  •  Contribute to the efficient handover of projects by collaborating with stakeholders, and conducting lessons-learned exercises aiding in smooth project transition processes.

 

Project Risk Assessment and Quality Assurance

  •  Contribute to the effective implementation of corporate policies, procedures, and processes to promote a culture focusing on the achievement of world class standards in risk management, QHSE and business continuity in line with regulatory requirements.
  •  Identify and mitigate risks across projects, ensuring proactive measures are in place to minimize potential disruptions and enhance overall project success, escalating to senior management if required.
  •  Escalate and follow up in coordination with the business, on unresolved decisions /risks that have a high impact on cost, timelines, or delivery quality to the senior management to keep them aware, get their inputs on issue resolution, and also bring the project/ program back on track or revise the schedule as appropriate.
  •  Develop comprehensive risk mitigation plans, establish, and maintain a standard process for identifying and mitigating risks, and escalate them to the management when required to minimize risks during the program implementation while adhering to the set policies, procedures, and standards.
  •  Implement quality control processes and plans across project lifecycles, ensuring that project deliverables and outcomes meet required standards and exceed client expectations.
  •  Create project dashboards in partnership with the PMO team, to monitor and track the overall performance of project quality plans, and processes, to facilitate informed decision-making.
  •  Maintain and update accurate and up-to-date records to demonstrate compliance and support with audit processes, ensure compliance as per Group standards and methodologies, identify areas for improvement, and enhance overall project performance.

 

Stakeholder Engagement

  •  Act as the project representative to all internal and external stakeholders, addressing concerns or issues that may arise throughout the project's lifecycle.
  •  Generate weekly status reports on project status key milestones and potential risks and challenges, contributing to project transparency while adhering to business requirements.
  •  Ensure that stakeholders involved in projects are aligned with project specifications and goals, contributing to a shared understanding for effective project execution.
  •  Present project status, and updates on quality performance in PMO meetings, ensuring alignment with organizational objectives and stakeholder expectations.

 

Continuous Improvement

  •  Participate in the identification of opportunities for continuous improvement and sustainability of systems, processes and practices considering global standards, productivity improvement, and cost reduction.
