The EA will be responsible for providing administrative support across both professional and personal responsibilities for the employer.
The role requires excellent communication skills, familiarity with office communications, corporate protocol, efficiency and a proactive approach to handling all tasks.
The ideal candidate must be organized, capable of multitasking, and committed to maintaining confidentiality and professionalism.
Key Responsibilities
1. Communication Management
* Manage emails and private communications including drafting and prep, work independently on briefs.
* RSVP follow-ups, entertainment bookings, restaurant reservations, and scheduling various appointments and events.
* Handle all communications courteously, provide assistance, take messages, and ensure ongoing follow-ups with associates independently and maintain a log on Google docs that can be accessed by employer at all times
* Ensure all emails and inquiries receive a response within 24 hours.
2. Administrative Support
* Oversee multi-level administrative tasks such as travel itinerary management, reimbursement processing, visa and medical paperwork, consultant salary disbursements, petty cash handling, insurance payments, credit card settlements, and utility bill payments.
* Maintain well-organized filing systems, databases, and social/work memos and briefings and ongoing accounts and reference knowledge of backgrounds
* Liaise with client’s contacts and when required and handle communications independently.
3. Financial Oversight
* Manage financial records, including bookkeeping and detailed tracking of all cash flows and coordinate with clients accountants, finance managers and company managers
* Handle professional and personal inquiries with discretion and ensure timely responses and follow-ups.
4. Home Office Management
* Supervise household staff and drivers.
* Oversee external service providers as necessary.
5. Event & Schedule Coordination
* Organize and manage the calendar, prioritizing meetings and events effectively.
Compliance & Professional Standards: Adherence to UAE laws and regulations to protect operational interests and maintain compliance.
Desired Qualifications & Skills
* Knowledge and mind set for executive assistance, schedule management, or a similar role.
* Strong communication skills (both verbal and written).
* Proficiency in email management tools, MS Office, and organizational software.
* Ability to exercise discretion, confidentiality, and professionalism at all times.
* Familiarity with UAE regulations and cultural considerations is essential.
Timings: Full time assignment
9am to 6pm availability for all purpose
In-person workdays: 2-3-4 days a week
WFH: 3-4-5 days a week
Salary: 6 -7 k AED depending on profile and competency. Bonus on good performance at year end.
Lap top and phone will be provided.
