First point of contact for 3/4 level directors. Proactively analyses and performs complex and varied administrative tasks closely related to the role and responsibilities of Directors. Independently performs complex and varied administrative tasks. Daily activities may involve interaction with high level contacts and exposure to sensitive information requiring considerable use of tact, diplomacy, discretion, and judgement.
Responsibilities may include the following and other duties may be assigned:
- All administrative duties including welcoming and directing visitors, managing agendas, organizing team building events, restaurant bookings for business meetings, travel, hotel, transfers, security arrangements and visa applications
- Scheduling meetings and Zoom/Teams calls by prioritizing commitments to maximize time and productivity, taking minutes of meetings as required and following up on actions
- Set up suppliers, open purchase orders for Directors' individual purchases and purchases made by the BS Coordinator, and prepare and submit expense reports on behalf of Directors
- Act as a point of contact between the team and stakeholders, managing the flow of information and communication within the business
- Liaise with APS based Business Support Coordinators for administrative processes including signature process
- Create suppliers, purchase orders for Directors' individual purchases and purchases made by the Business Support Coordinator
- Invoices for payment of individual purchases and purchases made by the Business Support Coordinator
- Preparation and submission of expenses for the Director
Required Knowledge and Experience:
- Fluent written and spoken English
- University degree (preferably in administration, business management or similar)
- Excellent organizational and time management skills: attention to detail, ability to prioritize tasks effectively
- Proficient in Microsoft Office applications (Word, Excel, Access, PowerPoint)
- Excellent verbal and written communication skills
- Positive contribution and proactive approach to new and changing situations
- Strong organizational skills & attention to detail
- Ability to work as part of a team to achieve business objectives
- Confident in dealing with senior management and able to communicate in a professional manner
Preferably 4years' administrative experience in a dynamic working environment and Ability to work independently and to tight deadlines.
