Khadamat Facilities Management LLC is a joint venture (JV) company formed to operate and provide Integrated Facilities Management Services to the new United Arab Emirates University in Al Ain.


Through focusing on and making best use of the main components of Facilities Management (People, Place, Process and Technology), Khadamat delivers a range of high-quality services to the UAE University. Our aim is to continue in what we are doing well and continuously improve.


Understanding the need to enable the University to focus on its core business (Teaching & Research), Khadamat is continuously innovating and delivering high quality services to the UAE University in line with the Project Agreement. Your Opportunity  


Khadamat are looking for an Assistant Maintenance Manager who will support the Portfolio Estates Manager in the effective management and delivery of Estates Management Services. This role involves overseeing the daily operational aspects of Hard FM services, engaging with key customers, and enhancing customer experiences. The Assistant Maintenance Manager is responsible for managing maintenance activities, including planned, preventative, and reactive/corrective tasks, as well as overseeing building fabric, MEP, and specialist systems. They ensure the efficient use of the Computerized Maintenance Management System (CMMS) and manage life cycle processes, including the upkeep of as-built drawings, O&M manuals, and the technical library.


The ideal candidate should have/be:


  • Knowledgeable about health, safety, and environmental regulations in facilities management.


  • Competent in enforcing safety protocols and conducting risk assessments to ensure safe working conditions.


  • Proficient in managing technical documentation, including as-built drawings and O&M manuals.


  • Capable of managing maintenance-related projects, such as fit-outs and refurbishments.


  • Experienced in working with external vendors and contractors for specialized services.


  • Proficient in managing service level agreements (SLAs) and contracts.


  • Sustainability and Energy Efficiency


  • Knowledgeable about sustainable building practices and energy-efficient technologies.


  • Strong analytical skills for identifying and resolving technical issues.


  • Ability to make informed decisions based on data and system analysis.


  • Excellent communication skills

This role is part of the Khadamat team and will be based in Al Ain, UAE


Key Accountabilities


  • Oversee the daily delivery of Hard FM services, ensuring efficient and effective execution of maintenance activities


  • Manage planned, preventative, and reactive/corrective maintenance tasks across building fabric, MEP systems, and specialist services.


  • Ensure compliance with safety, regulatory, and quality standards


  • Collaborate with key customers to understand their needs and ensure high levels of service delivery.


  • Proactively address customer concerns to enhance overall satisfaction and experience.


  • Supervise and coordinate the maintenance team to ensure smooth operations and timely completion of tasks.


  • Support the development and training of team members to improve performance and service quality.


  • Ensure efficient use and management of the Computerized Maintenance Management System(CMMS) for work orders, scheduling, and reporting.


  • Oversee life cycle management, ensuring accurate and up-to-date maintenance of as-built drawings, O&M manuals, and the technical library.


  • Manage fit-outs, refurbishments, and change of use projects, ensuring they meet timelines, budgets, and specifications.


  • Maintain accurate records of maintenance activities and prepare reports on service delivery performance.


  • Ensure all documentation related to maintenance, systems, and equipment is up to date and easily accessible.


  • To maintain a register of all statutory and legal compliance regulations, relevant to the operation, and to ensure that compliance with the relevant legislation and regulations is maintained at all times.


  • To ensure compliance with Khadamat IMS “Integrated Management System” at all times.


  • To work within framework of the Delegation of Authority Matrix at all times whilst undertaking their duties


  • To proactively identify and monitor all risk associated with Contractual and Operational Outputs of the facility and escalate to the Portfolio Estates Manager as required.


  • To carry out regular Risk Assessment of all high-risk activities associated with the facility ensuring compliance with relevant Policies and Procedures as required


Specific Requirements


  • Educated to Bachler degree level


  • 8 years Engineering experience within the MEP Maintenance or building services in Facility Management industry.


  • At least 5 years’ experience in delivering high value projects works.


  • The Assistant Maintenance Manager possesses a diverse skill set essential for effective facilities management, particularly in maintenance management and operations. Their expertise encompasses various areas, ensuring the smooth functioning and safety of building systems.


  • Proficient in planned, preventative, and reactive/corrective maintenance across building fabric and MEP systems (Mechanical, Electrical, Plumbing).• Skilled in diagnosing faults, assessing repair needs, and implementing effective maintenance solutions.


  • Strong understanding of HVAC, electrical, plumbing, and fire safety systems


  • Spoken Arabic would be an advantage
