Kelly Steel is an established company specializing in the highly specialized fabrication of steel construction items, leveraging over 15 years of expertise. As we grow, we are seeking a dynamic, organized, and proactive Administrative Executive to support our operations across various business functions.

Position Overview:

We are looking for an Administrative Executive+ to manage and oversee a range of office and administrative responsibilities. This role will play a crucial part in the smooth operation of Kelly Steel by coordinating and supporting daily office functions, ensuring efficient workflows, and helping manage the administrative side of our sales, finance, and operations. In addition, the role includes a secondary sales support function, involving tasks such as preparing offers, performing calculations, managing ERP and CRM data, and assisting with exhibitions and events. The ideal candidate is proactive, versatile, and capable of handling diverse tasks with professionalism and efficiency.

Key Responsibilities:


  • Office Management: Oversee daily office activities, maintain office supplies and equipment, and ensure a well-organized workspace.
  • Sales Support: Assist with client interactions, prepare and send offers, handle queries, and maintain records of client communications.
  • Invoicing & Finance: Prepare invoices, track payments, manage expenses, and coordinate with finance for accurate record-keeping.
  • Scheduling & Coordination: Organize meetings, manage calendars, and ensure timely follow-ups with clients and internal stakeholders.
  • Document Control: Maintain and manage documentation, ensuring all records are accessible, accurate, and up-to-date.
  • Reporting: Compile and prepare reports related to sales, finance, and administrative activities for management review.
  • Customer Service: Address and resolve client inquiries, support the sales team in maintaining high customer satisfaction.
  • Project Support: Assist in tracking and managing project timelines and milestones, coordinating with team members and clients.
  • Compliance & Record Keeping: Ensure company compliance with industry standards, regulatory requirements, and internal policies.
  • General Assistance: Provide support to the General Manager and other team members as needed, adapting to evolving needs in a start-up environment.


Qualifications:

  • Living or willing to re-locate to Ras Al Khaimah - Relocation support available.
  • Adaptation: You must be highly adaptable, quick-thinking, and resourceful, with strong problem-solving skills and intelligence.
  • Experience: Minimum of 2 years of experience in an administrative or executive assistant role, preferably within an industrial or construction-related company.
