Job Description:
We are currently seeking an organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will play a pivotal role in ensuring the smooth operation of our office and administrative functions. Responsibilities:
- Manage incoming email inquiries, respond promptly, and direct messages to the appropriate departments.
- Prepare accurate and professional quotations for potential clients.
- Create and manage invoices, ensuring accuracy and timely delivery.
- Calculate monthly employee salaries and maintain a well-organized salary sheet.
- Handle petty cash and maintain records of bill receivables and payables.
- Maintain accurate attendance records for all workers.
- Issue purchase orders to vendors and suppliers as needed.
- Follow up on outstanding payments and maintain a consistent payment follow-up process.
- Assist in tracking and following up on pending quotations.
- Prepare concrete scanning reports for the clients
Requirements:
- High school diploma or equivalent; additional education or training in office administration is a plus.
- Proven experience 5+ in an administrative or office support role.
- Proficient computer skills, including Microsoft Office Suite (Word, Excel, Outlook).
- Excellent communication skills, both written and verbal.
- Strong organizational and multitasking abilities.
- Attention to detail and accuracy are essential.
- Ability to maintain confidentiality and handle sensitive information with professionalism.
- Strong problem-solving skills and a proactive attitude.
- Ability to work effectively both independently and as part of a team.
