The Administrative Assistant plays a crucial role in supporting the daily operations of the Human Resources Outsourcing company. This position involves a variety of administrative tasks that ensure the smooth functioning of the office and contribute to the overall efficiency of the HR team. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. This role is perfect for individuals who thrive in a fast-paced environment and are looking to grow their career in human resources.

Responsibilities:

  1. Manage and organize office operations and procedures to ensure efficiency.
  2. Assist in the recruitment process by scheduling interviews and maintaining candidate databases.
  3. Prepare and maintain employee records and documentation in accordance with company policies.
  4. Coordinate meetings, training sessions, and other HR-related events.
  5. Respond to employee inquiries and provide support regarding HR policies and procedures.
  6. Assist in the preparation of reports and presentations for management.
  7. Maintain office supplies inventory and place orders as necessary.
  8. Support payroll processing by collecting and verifying employee hours.
  9. Implement and maintain filing systems for easy access to important documents.
  10. Participate in special projects and initiatives as needed.

Preferred Candidate:

  1. Strong communication skills, both written and verbal.
  2. Ability to work independently and as part of a team.
  3. Excellent time management and organizational skills.
  4. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  5. Detail-oriented with a proactive approach to problem-solving.
  6. Ability to handle confidential information with discretion.
  7. Experience with HR software and tools is a plus.
  8. Adaptability to changing priorities and tasks.
  9. Positive attitude and willingness to learn.
  10. Basic understanding of HR principles and practices.
