Administration Officer - Contracts

Request for Proposal (RFP) Development 

• Provide support in reviewing the contracts requests in coordination with the concerned business units.
• Respond to vendors’ queries with regards to RFP document in consultation with the concerned business units as directed by the line manager.

Contract Expiration management

• Ensure that contracts and proposals are properly entered into Contract Repository and securely maintained.
• Update the status of the contract in the contract register.
• Review the bond release/ liquidation notification.

Unit Support

• Administer day to day activities with focus on providing assistance to the line manager. Works on the diary management, conveying directions, or requests offering support while maintaining role efficiency. 
• Initiate requisitions for office supplies and make sure of the availability of supplies all the time.

Communication

• Manage all inbound and outbound communications of the line manager, including letters, mails, and announcements, in order to ensure that information is disseminated accurately. Write and edit correspondence, utilising extensive knowledge of the organisation’s processes and procedures.
• Receive and guide visitors to the office ensuring all arrangements for meetings; presentations etc. are made to facilitate smooth implementation.

Documentation and Recordkeeping 

• Ensure all QRM documentation is managed in the most efficient manner and maintained for easy retrieval.

Knowledge and Experiences:

Diploma in business administration or equivalent with 0 – 2 years’ experience in a relevant function.
