As an Administration Coordinator you will provide administrative and secretarial support to the Department Head and Skywards Leadership Team, managing schedules, communications, and meetings. It involves coordinating with internal and external stakeholders, handling correspondence, and supporting financial administration, including attendance and claims validation. The role also assists in managing departmental events and high-profile Skywards member requests, ensuring efficient operations and adherence to company policies and budgetary guidelines.


In this role, you will:


  • Monitor the daily schedule of the Department Head/ Skywards Leadership Team and furnish required information/documentation for meetings/appointments, by co-ordinating with sources within and outside the Department.
  • Provide other secretarial services to the Department Head/ Skywards Leadership Team on a timely and efficient basis.
  • Be fully conversant with the activities of the organisation to liaise effectively and in a professional manner with senior executives and external contacts on behalf of the Department Head/ Skywards Leadership Team.
  • Screen incoming mails and telephone calls, action responses, re-direct correspondence and collate to the appropriate person obtaining additional information where necessary.
  • Assist Skywards Administration Officer Supervise the Department's attendance records, overtime claims, duty travel claims and validate such claims are prepared within financial guidelines and relevant company policy.
  • Assist Skywards Administration Officer by verifying authenticity of claims ensuring figures are accurately recorded and in analysis the department cost report to ensure necessary budgetary control.
  • Assist Skywards Administration Officer in, execution and project management of all departmental engagement initiatives like staff events and celebrations.
  • Assist Skywards Administration Officer to handle high profile member requests pertaining to Skywards and any Skywards related complaints received from the executive team and high-profile members.
