We are seeking a proactive and organized Administrative Assistant to join our team. The ideal candidate will excel in multitasking, problem-solving, and maintaining efficient office operations. This role requires a professional who can collaborate effectively with various departments, manage schedules, and provide high-quality support to the Sales Manager and other teams.
Key Responsibilities:
Oversee administrative tasks, including responding to emails and managing office supplies.
Address and resolve issues while managing multiple tasks.
Maintain effective communication with external entities and service providers.
Manage Free of Charge (FOC) items.
Update and maintain information in the CRM system.
Demonstrate excellent follow-up skills to ensure timely task completion.
Organize and streamline office operations from start to finish.
Liaise with accountants, marketing teams, and other service providers as needed.
Take accurate and comprehensive meeting notes.
Handle requests and queries with professionalism and discretion.
Manage diaries, schedules, meetings, and appointments.
Source and procure office supplies and gifts as necessary.
Coordinate orders, shipments, and deliveries.
Handle travel arrangements, including booking flights, hotels, and transportation.
Requirements
Must be currently residing in the UAE.
Minimum of 2 years of experience in administrative roles.
Strong organizational and multitasking abilities.
Excellent communication and follow-up skills.
Proficiency in CRM software and other administrative tools.
Ability to handle sensitive information with confidentiality.
