Job Title: Service Administration Specialist

Purpose of Role:
This role is responsible for ensuring that all service-related administrational tasks will be processed through our different systems like CRM and SAP systems in a professional and time manner. This position will be working closely with the Service Manager, Supervisor or Aftermarket Manager, if these positions are not existing in the organization, on various business objectives, including but not limited to storing all digital documents related to site-safety, service jobs, process improvement and lean initiatives. He/She will be tasked with the registration of new service jobs in our C4S system, creation of accurate quotation documents for services on any of our product lines, through-out the territory. Always maintaining a professional company image to the customer.

Key Responsibilities:


  • Process and monitor all service-related issues in FSM and SAP, handle inbound calls and customer correspondence, prepare, send, and monitor quotations, and ensure all opportunities are optimized and up to date.
  • Support managerial levels in all administrative aspects, including organizing parts for service/repair, processing Service Engineer time entries, producing invoices, and ensuring prompt payment for work done.
  • Assist service engineers by ensuring availability of parts, creating digital job packages, monitoring the completeness of reports and technical reporting, and supporting customers with outstanding service-related demands.
  • Execute and monitor all SAP-related and physical stock movements, assist with business/financial/costing plans for developing new service opportunities, and support the service sales group in securing new service contracts.
  • Organize training for service staff/engineers, liaise with HR for training programs, assist with IT issues to ensure optimal remote work, and support the service operation regarding financial and performance reporting.
  • Ensure quality management by using SOPs, storing QA documents digitally, monitoring goods and SAP transactions, handling customer complaints, and proactively monitoring warranty orders to ensure timely delivery of spares.

Job Knowledge/Education and Qualifications:


  • Technical Skills: Experience with SAP and high computer literacy in MS Office (Word, Excel, PowerPoint, Visio).
  • Communication and Organizational Skills: Excellent communication, effective organizational skills, and refined listening skills.
  • Teamwork and Autonomy: Ability to liaise with all levels within the company and external providers, work well with colleagues, and operate both within a team and autonomously with minimal supervision.
  • Attention to Detail and Problem-Solving: Strong attention to detail, ability to work under pressure and to deadlines, self-motivated with a high level of initiative, and excellent problem-solving skills.
  • Experience and Commercial Attitude: Experience in running an administration for a service team, managing stock of service parts, dealing with repairs, maintenance, and warranties, and possessing a commercial attitude with a desire for continuous improvement.
