Main Responsibilities:
- To provide administrative support to the AMET Zone Head and more broadly to the AMET Zone LT Team.
- This role requires a high level of administrative skill and technical competence using business applications such as eBuy, Concur and eContracts.
- Understanding of and working in accordance with internal SOP’s, especially related to the events with Internal employees/staff, along with the complete follow-up of all required documents is central to this role.
- Strong oral and written communication skills, flexibility and the ability to manage multiple tasks of equal/varying priorities is essential. The ability to maintain a high level of confidentiality is critical.
Key Results/ Accountabilities:
Responsibilities will include but not be limited to:
- Managing events like Townhalls – sending the invite / organizing the translators where necessary and managing other Internal Events and Meetings.
- Main point of contact with external Vendors to organize / raise PO’s for these vendors.
- Organize and streamline schedule and diaries in order to ensure priority to urgent and important requests
- Oversee and manage general administrative tasks such as business travel authorization, purchase approvals, authorization expenditures, contract approvals.
- Raising PR’s using eBuy.
- Following up with the payment requests with Finance.
- Writing the meeting minutes of the meetings.
- Archiving documents for events related to the Business Meetings.
- Office management: Manages multiple, sometimes conflicting, priorities in a fast-paced and demanding environment.
- Provide high level administrative support
- Coordinate with local teams in the countries planning and logistics.
- Maintains up to date mailing lists for the department
- Takes initiative and independently manages special/administrative projects in dynamic fast paced environment other adhoc requirements.
- Manage logistics of AMET events.
- Assist in the on the logistics of LT relocating to the new HQ - Istanbul.

About you:
Essential Qualifications
Education Level
Preferably University Graduate – bachelor’s degree
Experience
- 5 years of experience in similar role / environment
- Experience supporting commercial activities, ideally in an FMCG, Pharma or biotech environment or other regulated industry.
Skills
- Fully conversant and proficient in Microsoft office / Power Point / Excel / Word
- Advanced level of written and verbal English (Turkish and French a plus)
- Excellent interpersonal, organization and communication skills appropriate to a multi-cultural and diverse working environment
- Ability to work autonomously.
- Strong problem-solving skills that allow to proactively anticipate requirements.
- Enthusiastic with a positive outlook and willingness to support with honesty, consistency and reliability.
- Ability to interact with a dispersed leadership team, other executive administrative assistants, and customers.
- Flexibility with time, working across time zones
- Ability to prioritize effectively with attention to detail
- Proactively communicates timetables for completion of tasks
