For this role, you will be expected to be located in Istanbul, Turkey.

Responsibilities may include the following and other duties may be assigned:


  • All administrative support functions, including greeting and guiding of visitors, organizing documents, travel organizations, hotel bookings, visa applications, and meeting preparation.
  • Acting as the point of contact between the customers and the team and managing information flow and communication within the company.
  • Managing the work calendar/agenda of the vice president by prioritizing commitments to maximize time and productivity.
  • Maintaining Vice President’s appointment schedule by planning and scheduling meetings, conferences, teleconferences.
  • Assisting with the preparation of presentations for the meetings, and providing pre and post-meeting follow-up notes.
  • Organizing external meetings with vendors, sellers, logistics partners, government departments and trade bodies in the region.
  • Managing weekly/monthly reporting.
  • Managing the overall communication among Leadership team, and between Vice President.
  • Making timely decisions on behalf of the Vice President in their absence.
  • Collaborating with Turkey based Business support coordinators for the administrative processes.

 Required Knowledge and Experience:


  • Undergraduate degree in relevant fields
  • Min. 5 years of work experience as an Executive Assistant in a dynamic work environment
  • Excellent communication skills
  • Excellent verbal and written communication skills and fluency in English
  • Strong passion to adopt changing status
  • Adaptation to flexible working hours
