Join our organization as a Team Assistant for both Legal & People and Organization departments and help us in resolving administrative issues and facilitating workflow efficiencies across departments.
Your Role – International, Challenging and Future-Oriented!
Your responsibilities will be:
•Administrative Support: Manage calendars and schedule meetings for the Legal team, prepare and organize documentation for meetings (including agendas and minutes), coordinate logistics for the team’s travels, events and meetings and support in the process of reimbursements, maintain filing systems and ensure proper documentation of Legal records, and assist in the preparation and filing of legal documents and compliance reports.
•Research and Data Management: conduct basic legal research as needed to support team initiatives and assist in data entry and management of legal databases.
•Confidentiality and Sensitivity: handle sensitive information with discretion and maintain confidentiality in all matters.
•Handle all administrative tasks, such as applying for team leaves, processing all expenses, and managing asset transfers in the portal.
•Arrange purchase orders (POs) and manage them efficiently.
•Organize business trips, including flight ticket booking, hotel reservations and cars.
•Manage the submission and follow-up of expense claims for the team.
•Ensure timely and accurate transfers of assets, coordinating with relevant departments and the portal
•Manage onboarding for new employees, including preparing their office setup, laptops, and employee card
•Coordinate with IT and Facilities to ensure the smooth allocation of necessary equipment and office space for new joiners.
•Send welcome emails, follow-up emails for onboarding procedures, and coordinate with relevant departments to ensure new employees have access to systems and platforms.
•Act as the liaison between different departments and team members, ensuring smooth communication and efficient collaboration.
•Coordinate team meetings, and other team events.
•Prepare meeting minutes and ensure proper documentation and follow-up of tasks.
•Book flights, hotels, and transportation for team members’ business trips.
•Ensure all logistics for events and meetings are properly arranged, including catering, venues, and materials.
•Maintain accurate and organized filing systems, including documentation of important legal and HR records.
•Apply for and manage employee requests, such as leaves and expenses, through the company’s internal portals.
•Update and track assets through the asset management system.
•Assist the P&O leadership team in day-to-day administrative tasks, providing support with presentations, reports, and data analysis as needed.
•Take on ad hoc projects and tasks to support the efficiency and productivity of the team as required.
Your Qualifications And Skills – Digital And Solid!
•Saudi National
•Expected degree qualification and/or major
•Relevant year of experience
•Previous experience in the legal field is a plus
•Ability to use own initiative, working independently and as a team member
•Proactive attitude with a good work ethic
•Excellent communication and organizational skills
•Attention to detail and ability to manage multiple tasks simultaneously.
•Strong Arabic and English language skills, both verbal and written
•Complete discretion and professionalism
•Willingness to build and improve secretarial skills
•Knowledge of administrative procedures
