WHAT WILL YOUR MAIN RESPONSIBILITIES BE



Effective Diary Management: help Factory management becomes most effective by managing the diary, coordinating with a wide range of internal and external stakeholders to ensure the President’s schedule goes smoothly, as well as pivoting and changing where needed.
Promotes a teamwork environment by effectively liaising with senior staff and others on behalf of PC SC Head and the factory manager and, taking necessary follow-up action and preparing progress reports as required.
Contributes to the culture of the team through keeping the pulse on overall team sentiment and working closely with the LT to drive engagement
Event Management: Arrange conferences, workshops, and special events for the factory Executive Team including venues, travel, etc. and helps execute all internal visitors’ programmes.
Effective communication with external contacts at a senior level and organisations.
Supporting leadership team in preparation and follow-up of LT meeting
Managing all aspects of meetings held on site.
Organise domestic and international travel arrangement including necessary visas, accommodation and necessary logistics.
Manage Expenses & Invoices.
Provide support on workplace services related matters.

WHAT YOU NEED TO SUCCEED



This role requires proven experience as a Personal Assistant and experience working in a corporate environment and regional/global organisation. It requires very high levels of discretion and absolute confidentiality.
The job holder must be well organised, able to prioritise tasks of high complexity including last minute travel requests.
Excellent written and oral communication skills are important, plus experience in managing office processes and where necessary.
Comfortable working in a hybrid environment and experience building collaboration with people from different cultures around the world
Candidates should have a high degree of maturity and interpersonal skills, and the ability to build a strong partnership with the entire team.
Fully operational in all IT systems: Trip Actions, Concur, SharePoint, Workday, Adobe and Power BI in addition to the usual Microsoft Office suite (Word, Excel and PowerPoint).
Accuracy, speed, proactivity, and an ability to ‘get things done’ are vital.

Experiences & Qualifications



2+ years of experience supporting senior management within a corporate environment, preferably cross-functional
Office management experience highly desirable
Bilingual (Arabic and English)

Highly organised, structured and ability to prioritise
Adaptable, can cope with change.
