The Opportunity
As a Stakeholder Support Specialist for the Roche Diagnostics Stakeholder Support Team - Middle East, you will serve as the primary contact for various stakeholder groups, managing administrative and operational activities within SAP systems and with the Roche Shared Services (RSS). Your role will include handling requisitions, accruals and invoice approvals & reconciliation requests.
You will ensure compliance with Roche policies and procedures by guiding stakeholders in providing necessary documentation for SAP processes.
You will collaborate closely with the Roche Diagnostics Division regional procurement team and other functions like Compliance, Quality, IT & Health and Safety. Your responsibilities will include providing guidance and training to internal stakeholders, ensuring adherence to procedures.
Key Responsibilities:
- SAP Requisitions: Create Purchase Requisitions (PR) in SAP on behalf of stakeholders.
- Vendor Management: Gather and manage vendor documentation, complete RSS smartsheets.
- HCP Support: Provide training on Health Care Professionals/Organizations creation processes (no direct creation involved).
- Invoice Processing: Align with stakeholders and RSS on accrual confirmations, invoice approvals, and PR adjustments.
- Contract Management: Upload GRACE contracts through the ROSE ticketing portal.
- Meeting Coordination: Book and organize small meetings, coordinate with the preferred vendor programs.
- Catering Requests: Manage some affiliate group catering requests.
- Hotel Bookings: Book hotels for local new hires (via agency; otherwise, admin can manage).
- SIM Card Management: Administer employee SIM card activation and deactivation for some countries.
- Document Retrieval: Retrieve documents from warehousing for audit purposes.
Who you are
- You hold a University degree, preferably in a business-related field.
- You have excellent verbal and written communication skills - fluency in English is a requirement, Arabic would be appreciated.
- System Proficiency: Preferred knowledge of SAP, Google Suite, and Microsoft Office.
- Teamwork & Independence: Ability to work collaboratively within a team and independently as required.
- Structured & Organized: Ability to handle many tasks in a structured and organized manner, know how to prioritize and fulfil tasks in a demanding environment
