Senior Associate - Clinical Operations
Job Description
The Senior Associate for Clinical Operations is responsible for ensuring the seamless administrative functioning of the clinical operations and digital clinic operations. This role focuses on managing the administrative aspects of the Clinical Operations, Digital Clinic, Medical Consultants' platform and supporting overall operational efficiency. The Senior Associate will collaborate with internal teams to facilitate effective workflow, maintain accurate records, and contribute to the success of the clinical operations and digital clinic
Administrative Support for Clinical Operations
Provide comprehensive administrative support to the clinical operations and digital clinic’s clinical operations Manage schedules, coordinate communications among clinical staff, and maintain organized documentation Coordinate communication among clinical staff to facilitate smooth operations, including relaying important updates and changes in protocols. Maintain organized documentation systems for clinical records, ensuring all files are easily accessible and properly categorized
. Management of Medical Consultants Platform
Oversee the administrative functions of the medical consultants' platform. Review, organize, update and share the applications with the concerned department. Ensure that consultant profiles are regularly updated with current qualifications, availability, and contact information. Manage the onboarding process for new consultants, including verification of credentials and training on platform usage. Track and report on consultant availability to ensure that scheduling is efficient and meets patient needs. Address all quieiers and issues raised related to management and operation of the platform
Data Entry and Record Maintenance
Maintain accurate and organized records of all administrative activities and clinical data. Input data into electronic health record (EHR) systems with precision, ensuring all patient and consultant information is current and complete. Regularly review and audit records for accuracy and compliance with data integrity standards and privacy regulations. Implement data backup procedures to prevent loss of critical information Monitor and track physicians licenses and ensure all physicians licenses are up to date
Coordination of Administrative Processes
Ensure the effectiveness execution of various administrative processes within the clinical operaitons and digital clinic. Develop and implement administrative workflows that streamline tasks and minimize redundancies. Monitor compliance with established processes and identify areas for improvement through regular feedback from clinical staff. Create process documentation and training materials to ensure new staff are onboarded effectively and existing staff are updated on any changes
Reporting and Documentation Management
Prepare reports and manage documentation related to operational performance. Compile data on administrative activities, including appointment statistics and consultant performance metrics, to create insightful reports. Generate performance reports for management review on a regular basis (weekly, monthly, quarterly) to inform strategic decision-making. Maintain documentation for audits and compliance reviews, ensuring all necessary records are easily retrievable
Collaboration with Internal Teams
Work collaboratively with clinical and operational teams to support overall clinic operations. Participate in team meetings, contributing administrative insights and updates to foster a collaborative work environment. Share information regarding administrative updates and policies, ensuring all team members are informed and aligned. Act as a liaison between departments to facilitate communication and resolve any administrative issues that may arise
Skills
Bachelor’s degree in healthcare administration, business administration, or a related field. Familiarity with healthcare operations and administrative procedures. Proficient in Microsoft Office Suite, Power BI and electronic health record (EHR) systems. Strong organizational skills with attention to detail and the ability to manage multiple tasks. Excellent communication and interpersonal skills, with a focus on teamwork and collaboration. Basic understanding of data privacy regulations and record-keeping practices. Ability to work independently and efficiently in a fast-paced environment. Arabic and English languages proficiency.
