Job Description Order Book Management Team Leader - 00125480 Location: Al-Majma’ah, Saudi Arabia JOB PURPOSE The post holder will ensure the effective management of Order Book Management activities by setting delivery targets, monitoring progress and developing performance improvement programmes.
Prioritise activities within/across teams to maximise efficiency. Represent the Order Book Management Manager at manager reviews, where necessary. Responsible for the assessment of escalated issues for any impact on Continuing Airworthiness, operational/process performance and generating effective resolution, or sponsoring escalation to management, as appropriate. Ensure all Order Book Management activities are appropriately documented, and the appropriate airworthiness records are maintained on relevant systems (IT / paper based). Ensure all Order Book Management activities are performed by suitably qualified, experienced and authorised personnel. Ensure the integration of Order Book Management activity within the business, including the engagement of key stakeholders at all stages of the process. Manage the Order Book Management team(s) compliance with associated procedures and standards, as applicable. Identify, propose and implement change as required whilst ensuring compliance. Promote the application of Human Factors, Error Management, Risk Management and Safety Assurance within the Order Book Management team, together with an awareness of preventative and predictive practices. Ensure Order Book Management team(s) activities are compliant with the SMSCMC Governance and Assurance framework. Ensure Process Confirmations and independent assurance audits are supported by Order Book Management personnel and integrated within/across teams. Manage audit findings in a timely and appropriate manner and provide information into the relevant reviews. Generate and implement effective improvements within/across teams to overcome any non-compliance and monitor effectiveness. Able to demonstrate an understanding and application of the relevant Continuing Airworthiness Regulatory framework and ensure any Regulatory-driven changes are implemented within the Order Book Management team activities. Ensure compliance with all other requirements, e.g. ITAR, EaPW, ISO, etc. Ensure compliance with all applicable contractual requirements, e.g. through support to contract reviews, and ensure any changes are incorporated into the Order Book Management processes as appropriate. At a tactical level, manage the optimum Order Book Management solution with, as applicable, the Customer, On Base Demand Managers, Procurement, Suppliers and all other key stakeholders, in order to deliver the required standards of Continuing Airworthiness and contract delivery. Manage the development and delivery of the Order Book Management capabilities (including IT infrastructure), ensuring alignment to current and future business strategies. Provide supervision and coordination for a team, ensure that team members are fully motivated, trained, capable and able to generate work output of a quality to meet all requirements of the business, customer and contract. Ensure the effective management of supply chain transactions from receipt, processing and payment. Ensure the ability to maintain system records to reflect process status and responses. Manage the development and deployment of a robust and cost effective customer order validation process, ensuring that the correct specification of items are sourced through the correct channels. Manage the development and deployment of an effective priority management process to meet customer/contract critical demand. Ensure that all available options for demand resolution are exhausted within the fastest means possible, whilst ensuring compliance. To improve item availability, manage the development and implementation of cost effective alternative solutions, by challenging and informing stakeholders based on historical performance data and current issues. Manage the development and delivery of an effective reporting/metrication capability in order to articulate and manage Order Book Management performance. Ensure trends are captured to inform risk/opportunity management and planning activity. Ensure escalated issues are assessed, effective solutions generated and monitored, or sponsor escalation to management, as appropriate. Ensure the effective management of customer Requests for Quotation to timely conclusion. Develop relationships with supporting functions so that competitive provision of prices and lead times are delivered. Ensure the effective management of Third Party Logistics services within the supply chain. Ensuring that performance targets are achieved and that all export control requirements are met. Ensure the effective management of relationships throughout the supply chain including supporting functions, suppliers and service providers to ensure that customer order schedule adherence is met. Lead order book reviews with internal and external stakeholders, presenting order status, supporting resolutions to order related queries as requested by the customer. Minimum HND or Level 5 Award, or suitable equivalent. Recent extensive experience within a Supply Chain Order Book Management role in support of Maintenance /after sales market environments. Recent proven experience as a Team Leader in a supply chain role. Able to build strong relationships with Customers, On Base Demand Management, OEMs, Suppliers and other key stakeholders. Strong quantitative, analytical and project management skills/experience, with Lean management principles. Able to demonstrate good team leadership knowledge and skills. Effective, highly credible communicator with strong interpersonal skills. Requires broad product knowledge and a comprehensive understanding of the relationship with interfacing / contributory areas. Ability to analyse and interpret data. Comprehensive understanding of current IT software packages used within the Order Book Management discipline.
