Operations Executive

The Operations Executive plays a crucial role in ensuring the smooth functioning of the dental center and clinic by managing various operational aspects. The Operations Executive will be responsible for overseeing daily operations, coordinating with different departments, and ensuring that the clinic meets its operational goals efficiently.

Responsibilities:

1. Manage and oversee daily operational activities within the dental center.
2. Coordinate with healthcare professionals to ensure seamless patient care and service delivery.
3. Monitor inventory levels of medical supplies and equipment, ensuring timely replenishment.
4. Implement and maintain operational policies and procedures to enhance efficiency.
5. Assist in the development and execution of operational strategies that align with the clinic's goals.
6. Conduct regular audits and assessments to identify areas for improvement.
7. Ensure compliance with healthcare regulations and standards.
8. Collaborate with the logistics team to optimize supply chain processes.
9. Provide training and support to new operational staff.
10. Prepare and present operational reports to management for review.

Must:

1.   Manage end-to-end order processing from order entry to delivery.

2.   Ensure SFDA and Saber approvals for medical equipment import and clearance.

3.   Circulate orders to suppliers and track and monitor shipments to ensure timely delivery to customers and warehouse.

4.   Process LPOs, create sales orders, and track approvals in Odoo.

5.   Coordinate with suppliers on shipment updates and pre-payments.

6.   Manage customs clearance and communicate shipment arrival schedules to teams.

7.   Ensure proper documentation for invoicing, re-export shipments, and returns.

8.   Optimize shipping costs by selecting appropriate methods and timing.

9.   Maintain and update tracking sheets and ensure Etqan compliance.

10. Respond to customer queries related to delivery and order fulfilment.

11. Plan fulfilment based on production lead times and customer delivery deadlines.

12. Monitor and track GRN (Goods Receipt Note), inventory levels at the warehouse and ensure smooth order completion.

13. Handle quality inspection from SFDA, for ISO 13485 & ISO 9001
