ROLE OVERVIEW 


The Office Support & Projects Reporting Lead is responsible for overseeing administrative functions and project reporting across various sectors, with a specific focus on financial management, supply chain awareness, and construction management. This role requires advanced communication skills, both verbal and in PowerPoint presentations, as well as proficiency in data analytics and AI.


Collaborating closely with senior leadership and project teams, the Lead will ensure that all communication is clear, effective, and data-driven, aligning project outcomes with organizational goals.


REQUIREMENTS SUMMARY 


  • 5+ years of experience in office support functions and project reporting methodologies.
  • Financial exposure and understanding of supply chain management principles.
  • Familiarity with construction management processes and practices.
  • Proficiency in data analysis and reporting tools, including a strong command of Power BI.
  • Advanced communication skills, including the ability to create engaging PowerPoint presentations.
  • High attention to detail to ensure accuracy in reports and communications.
  • Capability to identify inefficiencies and recommend improvements in administrative processes.
  • Excellent interpersonal skills, with the ability to engage effectively with a wide range of stakeholders.
  • Ability to synthesize complex data into clear, actionable insights.
  • Flexibility to adapt communication strategies based on varying audience needs.
  • Strong organizational skills to manage multiple projects simultaneously.
  • Uphold ethical standards in all communications and interactions.

ROLE COMPETENCIES & ACTIVITIES 


The Office Support & Projects Reporting Lead's responsibilities will include, but not be limited to:


Stakeholder Management 


  • Assess stakeholder needs, interests, and influence to prioritize engagement strategies.
  • Create and implement tailored stakeholder engagement plans to enhance collaboration and support for projects.
  • Build and sustain strong relationships with stakeholders through regular communication, updates, and feedback mechanisms.
  • Act as the primary point of contact for stakeholders, addressing their queries and concerns while providing timely project updates.
  • Identify and proactively address potential conflicts or issues with stakeholders, mediating disputes when necessary to achieve mutually beneficial outcomes.

Project Reporting 


  • Create and maintain comprehensive project reports, highlighting key performance indicators, financial metrics, supply chain considerations, and risks.
  • Utilize data analytics to track project progress and inform decision-making processes.
  • Coordinate project updates and stakeholder involvement, integrating their feedback into planning and execution.

Change Management 


  • Promote transparency and accountability in project reporting and communications.
  • Seek feedback from stakeholders to enhance the quality and effectiveness of reporting processes.
  • Identify potential risks associated with projects and develop strategies to mitigate them.

Leadership 


  • Lead efforts to standardize reporting formats and processes across projects.
  • Mentor team members on best practices in data reporting and stakeholder communication.
  • Foster a collaborative culture that encourages open dialogue and knowledge sharing.

EXPERIENCE & QUALIFICATIONS 


Knowledge, Skills and Experience 


  • 5+ years of experience in office support, project reporting, or related fields, with a strong focus on financial management and supply chain principles. 
  • Proven track record of successfully managing reporting processes and stakeholder communications in construction or related sectors. 
  • Strong analytical and problem-solving skills, with a focus on data-driven decision-making. 
  • High level of emotional intelligence and diplomacy in stakeholder interactions. 
  • Data Analytics certifications are required. 
  • Proficiency in Power BI.

Qualifications 


  • Bachelor’s Degree in Management Information Systems (MIS) or a relevant field.   
  • Relevant Professional Memberships/Accreditation.
