Ensure realization of office management role, plans and objectives with the given resources permitting staff to work effectively and in due time, in line with defined goals and standards.


Your day at Ferring


  • Provide general administrative support to the GM, e.g. managing calendar and appointments, organizing travel and accommodation, as well as his travel expense reports.


  • Supporting the GM with various reports by consolidating data from various departments for his Business Reviews and presentations.


  • Coordinate with Office, Administration and Sales Assistants within the GCC to establish standard business practices.


  • Communicating and supporting the different departments in the organization within the GCC Cluster as well as Intercontinental and Global.


  • Ensure that 3rd party service agreements are in place and maintained to ensure minimal down time during repairs.


  • Provide local support to all Ferring employees as liaison between Ferring local, 3rd party providers and global IT. Identify ways in which IT can improve performance.


  • Manage the administrative function within human resources including monthly payroll, leave of absence, fulfill payroll requirements, payroll changes, employee benefits and EOS.


  • Manage with the local agent in Saudi Arabia and Bahrain the Debit Notes in coordination with the Reporting and Accounting Manager. Manage mobile and landline networks to function cost effectively at all times. Compile monthly reports of the usage and costs. Fleet management. Provide monthly reports on costs.


  • Manage insurance. Assist in compiling budgets. Ensure that all Ferring training is reported within the local requirements.


  • Planning and managing internal meetings and product launch meetings with the Sales/Office/Admin. Assistants. Plan, organize and coordinate external meetings for the Cluster. Consolidate registrations and travels for local as well as international conferences.


  • Ensure office staff has sufficient equipment, furniture, stationery etc. to permit them to work effectively.


  • Arrange archiving of documents. Ensure archive facility meets Ferring standards. Ensure archived materials are recorded and retrievable. Coordinates and distributes appropriately the information regarding SOP documents. Contact person for ESOP.


  • Distribute ethics information and updates to staff members. Ensure that local entity comply with all Ferring Global as well as local policies governing, SHE compliance. Complete and submit SHE reports for local entity as per global requirements.


  • Defines, in agreement with HOD/HOC the applicable list of SOPs per function/position within his/her team and maintains the same in an approved list (i.e., Training Matrix, Applicable SOP List).


  • Receives the notifications or any information related to SOPs from the Regional DRP.


  • Upon release of new/updated SOPs, evaluates in agreement with the HOD/HOC the applicability of the new SOP to his/her team/function. And assigns the subject SOP as applicable.


  • Provides the approved SOP list of his/her team to Regional DRP and HR department at least on annual basis for records purposes.


  • Follows up on SOP reading and training completion on LMS, noting that a reminder email from LMS system will be sent to all DRPs/line managers including incomplete SOPs for their teams.


  • First point of contact to local team(s) in all matters related to SOPs (Local & Global).


  • Supports the authors within Function/Country in creating/updating their local SOPs.
