Overview & ResponsibilitiesThis position supports the Field Service Manager and requires a high school diploma or equivalent, with a preference for additional business education or an associate degree in business. The role involves using Microsoft Word, Excel, Lotus Notes, and other office equipment, such as multi-function machines (copying, scanning, faxing). Strong verbal (telephone) and written (email) communication skills are essential, along with the ability to organize, prioritize, and manage multiple tasks effectively.
Job Responsibilities:
- Order Fire Resistance Clothing for Field Service Personnel.
- Provide regular order and schedule updates to Project Managers.
- Verify and update supplier information in the ERP system, including adding new suppliers by obtaining W-9 forms.
- Process purchase requisitions from Project Managers and create Purchase Orders for external suppliers.
- Follow up on open purchase orders and expedite when necessary to meet deadlines.
- File purchase orders, signed timesheets, JHAs, and invoices in job folders.
- Process invoices from suppliers and verify all information matches the purchase order before submitting for approval.
- Ensure the correct purchase order and field service job number.
- Obtain necessary approvals for payment.
- Enter receipt details into the ERP system.
- Submit invoices to Field Service Accounting with all required documentation to ensure timely payment.
- Manage and verify charges on the Field Service P-Card.
- Order office supplies for Field Service personnel.
- Prepare management reports as needed.
- Prepare shipping tickets using UPS or FedEx.
- Maintain and organize office files (both digital and paper).
- Monitor and manage employee time reporting and expense submissions.
- Verify and process employee timesheets and ensure compliance with company policies.
- Assist employees with time and expense report submissions, resolving any issues or discrepancies.
Candidate Profile / Skills Required:
- High school diploma or equivalent (business education or associate degree preferred).
- Proficiency in Microsoft Word, Excel, and Lotus Notes.
- Experience with office equipment (multi-function machines: copy, scan, fax).
- Strong verbal and written communication skills.
- Ability to organize, prioritize, and manage multiple tasks.
- Experience in working with ERP systems is an advantage.
- Ability to interact with internal teams (Field Service Representatives, Project Managers, Mechanical Specialists, financial personnel) and external contacts (vendors, customers).
