Responsibilities
Governance documents management (BoD/ExCOm/IRAC minutes + SH resolutions signed ontime)
Act as the point of contact among executives, employees, and other external partners
Managing the executives’ calendar, including making appointments and prioritizing the most sensitive matters
Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
Make travel and accommodation arrangements
Support in event management, e.i local organization, logistics, etc
Administrative support to the commercial team and management visits
Process expenses
Organize and maintain the office filing system
Providing administrative assistance
Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
Manage correspondence related to local authorities and company corporate governance
Lead the implementation for Voice of customer project.
Issue administrative purchase requests.
Monitor the consolidated file for ALAR uniform for all sites and follow up the purchase orders.
Handles all communication activities in ALAR.

Annual & Business trips air tickets
PR's creation for the HO
Monthly invoices for HO
Arrange invitation letter for Visa process
Handling the Board & Shareholder documents
Coordinate with VP assistance for any visit to KSA
Manage Agenda of the VP
Events management
Evaluating business processes, predicting requirements, designing and implementing solutions
Staying updated on the latest technologies to automate processes and improve efficiency
Analyzing business processes and communicating feedback to other team members and management
Budgeting and forecasting
Planning and monitoring projects with regular check on requirements
Conducting detailed market research and competitive analysis
Regular Reporting and Analysis
Managing competing resources and priorities with regular check on deliverables
End to end project management
Work experience as an Executive Assistant, Personal Assistant or similar role
Excellent MS Office knowledge
Outstanding organizational and time management skills
Excellent verbal and written communications skills
Discretion and confidentiality
Able to travel when needed
Excellent time management skills with a proven ability to meet deadlines.
