Project Overview:

TROJENA (The Mountains of NEOM) will be an iconic, world-class destination, blending natural and developed landscapes and will offer unique experiences for residents and visitors alike. Located in the northwest of Saudi Arabia in the region of Tabuk just 50km from the coast, TROJENA will be a destination like no other on earth. Based upon the principles of eco-tourism facilities will include a folded vertical village, a lake with water sports and event facilities, high altitude ski village, observatory, world leading health and wellbeing facilities and a nature reserve which will be home to unique wildlife, heritage sites and exploration opportunities. 


With over 3,600 hotel, 2,200 homes, 9 iconic buildings and 100 world class indoor and outdoor experiences Trojena will become the ultimate mountain destination. Bechtel will provide a full range of project management services to support the delivery of this iconic destination.

Job Summary:

In this role, you will provide document management support by using ECMS (Enterprise Content Management Systems), distributing, maintaining, and retrieving project records in accordance with company guidelines. You will assist with customer service, questions, issues, updates, quality checks, and project closeout activities. Your attention to detail and data accuracy will help ensure successful compliance with document and records management procedures.




Major Responsibilities:
  • Provides document and/or records management services in accordance with established policies, and procedures​.
  • Performs services to include but not limited to receiving, processing, distributing, retrieving and maintaining documents and/or records via Aconex.
  • Administers Aconex Workflows to manage the engineering, design, and construction review cycles.
  • Ensures that accurate records of issuance are captured in alignment with the records retention and turnover plan
  • Interfaces with internal and external customers in the resolution of questions, issues or actions​.
  • Provides guidance to the project team members, contractors, and consultants, in the use of the ECMS (Aconex)
  • Communicates effectively with project team members, client representatives, and field personnel to ensure that contractor’s and consultant’s submissions meet quality standards and scheduled delivery. Assisting quality assurance audits, client reviews, and external audits
  • Assists project team members with questions or issues related to document numbering, work process, electronic/digital signatures, legibility, etc.
  • Assists the team on records security classification policy and procedures​.
  • Prepares routine reports by exporting data from Aconex to excel, or other office software to assist the functions review cycles​
  • Provides input to and updates desktop work instructions, plans and procedures​
  • May Train others in use of Software Applications used for Document Management Activities.
  • Keeps abreast of department technologies, techniques, and services that are available


Education and Experience Requirements:
  • Requires a minimum of 6-8 years of related experience
  • Bachelor’s degree preferred
     


Required Knowledge and Skills:
  • Proficient in Aconex, SharePoint and MS Office Suite with advance knowledge in MS Excel.
  • Familiarity with ISO standards, project-specific documentation protocols, and regulatory compliance requirements.
  • Average understanding of the engineering and construction industry documentation types and work processes.
  • Problem-solving skills with a focus on process optimization and efficiency, attention to detail, quality driven, time management, adaptability, highly organized, typing proficiency and communication skills.
  • Ability to identify and mitigate document control process risks.
  • Skills in numbering and nomenclature
  • Uploading and distribution skills
  • Possess a solid work ethics
     

Key Factors for Determining Qualification:


  • Must have strong communication skills, a customer focused approach, and a good command of the English language
  • Demonstrable proficiency of document control processes and usage of Aconex or equivalent ECMS/EDMS platforms, MS Excel and the whole MS office suite (i.e., Outlook, Word, PowerPoint, etc.)
  • Must be able to organize and prioritize assigned document management tasks and have strong interpersonal skills, and the ability to work flexibly and collaboratively with team members
  • Has specialized expertise, typically developed through a combination of job-related training and considerable work experience​
  • Must be flexible and able to endorse and quickly adapt to changes in work focus
