Requirements


Georgetown University in Qatar (GU-Q) is seeking an experienced and highly organized Executive Scheduler to provide dedicated support to the Dean’s Office, ensuring seamless management of schedules, communications, and high-level administrative tasks. The Executive Scheduler will play a vital role in ensuring the smooth operation of the Dean’s daily activities by coordinating appointments, preparing detailed briefing materials, and fostering collaboration with stakeholders across the university and other key partners.


As this position is based in Doha, Qatar and offers no relocation assistance, GU-Q is looking for locally based candidates only.


Key Accountabilities:


  • Schedule appointments/manage the calendar for the Dean, and for others as needed, ensuring optimal use of their time and prioritizing competing demands.
  • Prepare and compile detailed briefing materials for the Dean in advance of meetings, including relevant facts, data, and background information.
  • Establish and cultivate relationships with scheduling/assistant counterparts at other partner universities, Qatar Foundation, the home Georgetown campus in Washington, DC, and other key partners and stakeholders, fostering collaboration and timely, effective communication.

Key Activities:


  • Manage the Dean’s calendar, schedule appointments, coordinate travel arrangements, manage files, and schedule and plan meetings.
  • Coordinate complex and dynamic schedules, managing multiple calendars and ensuring appointments are efficiently scheduled and conflicts are resolved.
  • Source relevant information, synthesizing it into clear and concise briefing materials for the Dean.
  • Serve as the Secretary to the Joint Advisory Board of GU-Q; organize, schedule, and attend all Joint Advisory Board meetings to take minutes and follow up on required action points.
  • Maintain confidentiality and exercise discretion and appropriate judgment in all matters related to the Office of the Dean.
  • Respond to urgent requests and concerns via email, texts, and phone calls outside of normal working hours. Interact with students, faculty, and staff, providing information and addressing inquiries as appropriate.
  • Prepare correspondence and documents for the Dean's signature, ensuring accuracy and clarity.
  • Other similar duties as assigned.

Requirements


  • Bachelor’s degree
  • 5+ years of relevant work experience, preferably supporting a high/C-level executive.
  • Proven track record of effectively managing complex calendars and scheduling appointments.
  • Demonstrated ability to handle sensitive and confidential information with discretion and professionalism.
  • Exceptional organizational and time management skills, able to prioritize tasks and meet deadlines.
  • Excellent verbal and written communication skills, with strong attention to detail.
  • Ability to problem solve independently and through strong partnerships with business partners across the globe; thrives in a dynamic environment with a high degree of ambiguity and agility.
  • Strong ability to work independently, exercise judgment, take initiative, and make informed decisions.
  • Technically proficient in using software/platforms, such as Microsoft Office suite and Google Workspace, and able to readily adopt new solutions.
