We are currently seeking a reliable and detail-oriented Document Controller to join our team and ensure the proper management and control of all company documents.


Position Overview:

The Document Controller will be responsible for managing, organizing, and maintaining the company’s documents, both physical and digital. The ideal candidate will be highly organized, detail-oriented, and capable of ensuring that all company documentation is accurate, easily accessible, and compliant with company policies and industry standards.

Key Responsibilities:


  • Organize, manage, and control all incoming and outgoing documentation, including contracts, reports, technical documents, and other company files
  • Ensure all documents are properly filed and easily retrievable in both physical and digital formats
  • Maintain a document control system and ensure consistency across all project documents
  • Review and verify documents for completeness, accuracy, and compliance with company and legal requirements
  • Provide document control support for ongoing and completed projects
  • Assist in the preparation, distribution, and storage of documents as needed
  • Implement and maintain document management systems and processes to ensure efficient workflow
  • Track and update document revisions, ensuring that the most current versions are available to all relevant team members
  • Coordinate with project managers, engineers, and other departments to ensure that documents are accurately maintained and up-to-date
  • Ensure compliance with applicable regulations, standards, and best practices related to document management
  • Perform periodic audits to ensure proper document control procedures are being followed
  • Prepare reports on document management processes and suggest improvements to increase efficiency

Requirements

Requirements:


  • Proven experience as a Document Controller or in a similar administrative role
  • Strong organizational skills with an excellent attention to detail
  • Proficiency in document control software and systems (e.g., Procore, Aconex, SharePoint, etc.)
  • Excellent knowledge of document management procedures and best practices
  • Strong communication and interpersonal skills
  • Ability to handle confidential information with discretion
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Good understanding of document control processes in a project-based environment (real estate, construction, engineering, etc.)
  • Strong time management skills and ability to prioritize tasks effectively
  • Bachelor's degree or equivalent qualification (preferred)

Preferred Skills:


  • Experience with document management in the construction, engineering, or real estate industry
  • Knowledge of ISO 9001 or other quality management standards
  • Ability to work with a diverse team and manage multiple projects simultaneously
