Requirements


The Office of the Dean is looking for a highly organized and detail-oriented Administrative Coordinator. This role is integral to ensuring seamless day-to-day operations by providing administrative, clerical, and event coordination support. The ideal candidate will excel in multitasking, possess strong communication skills, and thrive in a dynamic higher education environment. With responsibilities ranging from managing office logistics and coordinating travel to assisting with events and financial documentation, this position offers an exciting opportunity to contribute to the success of Georgetown University in Qatar.


As this position is based in Doha, Qatar and offers no relocation assistance, GU-Q is looking for locally based candidates only. This is a full-time, one-year term, renewable position.


Key Accountabilities:


  • Provide administrative and clerical support to the Dean’s Office by managing a variety of tasks, and performing general office duties, including managing schedules and logistics.
  • Coordinate event logistics with the Event team, ensuring that the setup aligns with event requirements.
  • Prepare and submit finance-related documents and assist with the procurement of office supplies or equipment.
  • Serve as a first point of contact for faculty, staff, students, and visitors to the Dean’s Office.

Key Activities:


  • Prepare agendas, travel itineraries, and coordinate logistics for guests and events.
  • Help manage the Dean’s office email account and coordinate the printing and delivery of correspondence.
  • Sort incoming mail, faxes, and deliveries for distribution.
  • In cooperation with the Events team coordinate event logistics by securing venues, arranging suitable catering services.
  • Organize visits for prospective employees and visitors, including parking, building tours, and meetings.
  • Provide tours of Education City and Doha for visitors.
  • Ensure smooth coordination of travel arrangements (flights, accommodation, visas, drivers).
  • Prepare and submit finance-related forms (expense reports, procurement requests, procard reconciliations).
  • Organize office and kitchen supplies (paper, printer cartridges, etc.), and maintain inventory.
  • Obtain estimates and order office equipment and supplies as needed.
  • Raise Facilities and IT tickets as necessary.
  • Serve as coordinator for the Emergency Response Team (ERT), including maintaining and updating employee/student details.
  • Assist with assigned project-based work.
  • Prepare marketing giveaways and gifts.
  • Perform basic office tasks (printing, scanning, filing, copying, shredding).
  • Other similar duties, as assigned.

Requirements:


  • Bachelor’s degree.
  • 3+ years of relevant work experience, preferably in higher education.
  • Excellent organizational, administrative, and coordination skills.
  • Working knowledge of basic financial concepts is preferred.
  • Meticulous attention to detail.
  • Proven ability to manage multiple tasks and deadlines.
  • Exceptional written and verbal communication skills.
  • Proficiency in Microsoft Office Suite.
  • Adaptable ability to work both autonomously and as a part of a team.
  • Knowledge of Middle East culture and environment, and the cultures of higher education is a plus.
