Job Description:


Job Purpose: To formulate, review and implement policies, procedures, goals, and objectives for Fleet & Travel related operations at SPL for the staff while ensuring that service providers conform to laid down service levels as per agreement and run the operations as per the desired statutory/ regulatory requirements. It also includes to measure and provide assurance on transportation of employees and visitors as per safety guidelines of SPL. Management of club memberships of SPL leadership and being SPL’s interface with the key clubs in metro cities also lies under this position. Principal Accountabilities include:


  • Responsible for the safe HSSE compliant transport operations to SPL staff and visitors.
  • Work with the business partners both internal and external where appropriate, to manage expectations on transport operations (business continuity, on time arrival etc)
  • Direct activities related to routing, dispatching and tracking transportation vehicles, plan for all transport requirements (including planned and adhoc) for employees and, visitors.
  • Make arrangements with service providers for the management, administration and delivery of transport services to agreed service levels and ensure spend is within budget.
  • Responsible for monitoring the yearly budget and latest estimates for the Transport operations and sharing the update with CLT periodically.
  • Plan, organize and manage the work of Transport Coordination staff to ensure that the work is accomplished in a manner consistent with organizational requirements especially on HSSE and E&C compliance.
  • Vendor management, Conducting toolbox meetings with Drivers, Supervisors and Transport Coordinators and holding quarterly performance review sessions with the vendors.
  • Prepare periodical MIS and authenticate vendor Invoices. Also, sharing the MIS on JRC’s and rent a car service with senior leadership at SPL.
  • Ensure compliance with HSSE Control framework requirements for all transport operations.
  • Responsible for maintenance of company vehicles
  • Custodian of key records and documents pertaining to Transport Operations including purchase, registration, maintenance and disposal (wherever applicable) record.
  • Plan for and ensure continuous transport support in BCP situations
  • Provide 24/7 emergency response as appropriate for meeting contingencies with respect to road and air travel.
  • Look for cost saving opportunities in the fleet management without compromising on safety and service levels.
  • Undertake inspection of all company cars and maintaining record for each car regarding their condition and fitness.
  • Also ensure inspection of all new cars and the cars surrendered by staff and arrange delivery of such cars to the concerned staff after they are found to be fit in all respects.
  • Complete all formalities, including inspections, for all company cars determined for disposal and ensuring a disposal process that is compliant with SPL policies.
  • Suggest ways and means of effectively controlling the maintenance and repairs cost of company cars and arrange transfer of vehicles in SPL’s name. Ensure proper record keeping in the department.
  • Arrange maintenance of company cars at the designated workshops, payment of motor vehicles tax, and other payments, ensuring proper record keeping in this regard. Ensure that all workshops and fuel payment/invoices are processed on time.
  • Also ensure to timely scrutinize/check staff claims regarding maintenance/fuel of their cars and keep an up-to-date record. Also, coordinate and be interface for Fuel Card holders with respect to SG and JRC cars.
