The Purchase Assistant is responsible for market visits to collect quotations, purchasing petty items against cash, arrange collection of materials from vendors, transport adda’s, and handling rejections etc. Responsible for coordinating with the receiving room, and all relevant stakeholders for successful handling of items. Arrange repair services of items from market. Arrange tele-market surveys as per requirement.  


Core Responsibilities:


Applying Process as per SOP:


  • Get quotations of items/services by visiting the market or through tele survey as per the requirement of the Procurement Team.
  • Identify competitive sources of procurement and facilitation for registration as per SOP.
  • PR (Purchase Requisitions) processing for items having value less than Rs.50,000/-.
  • Purchase items/services of value upto Rs.50,000/- directly by ensuring competitiveness without the formality of obtaining quotations as per SOP.
  • Preparation Cash Purchase Summaries promptly after purchases and obtain approval as per SOP before submission to the accounts department for reimbursement.

Collaboration & Documentation


  • To get written/telephonic/verbal quotations for items valued upto Rs.50,000/- and cash purchases after getting approval from the relevant office & Manager Procurement.
  • Get clarity for cash purchases from the concerned Officer/Manager Procurement.
  • Arrange return of rejected materials from receiving stores, get replacement supplies and maintain record appropriately for one year minimum. Send emails of rejections to vendors and concerned officers.
  • Follow up with respective suppliers for timely procurements/delivery against POs.
  • Send reminder emails/calls to suppliers for getting overdue supplies as per the advice of the relevant officer.
  • Coordinate with other departments to resolve all issues relating to supplies or disputes on a technical basis.
  • Coordinate with receiving room / Sub-Store and identify to resolve issues of unidentified and disputed items.

Market Operation for Purchases


  • Arrange repair services of items from the market and recover items timely after completion of job.
  • Arrange to clear all OGPs on a quarterly basis.
  • Visiting transport Adda as and when required for collecting materials, resolving pending issues and monthly clearance of materials.
  • Perform miscellaneous purchase activities and logistics arrangements, when needed.

Qualified candidates will have:


Mandatory requirements:


  • Degree: Graduate
  • Work experience in the manufacturing industry or on allied assignments
  • English fluency in written

Desirable requirements:


  • One year experience is advantageous
  • Working knowledge of procurement & market is desirable
  • Second language, Urdu is desirable

Required behaviors and skills:


  • MS Office
  • SAP will be an additive advantage.
  • Communication, humble & positive
