Aga Khan University invites applications for the position of Assistant Manager, Deans Office in the Department of the School of Nursing and Midwifery.
Job Role / Responsibilities:
Reporting to the Manager, Dean’s Office. You will be responsible for:
- being the primary assistant to the Dean, School of Nursing and Midwifery
- managing her calendar, appointments, travel, meeting notes, and the overall day-to-day affairs of her office
- serving as the first contact person in the Dean’s office for people from AKU and outside
- keeping track of programmatic tasks, activities, meetings, events, and engagements where the Dean needs to be involved
- working with the Manager, recommending and implementing improvements to revise the administrative functions of the entity
- liaising with faculty members and program coordinators across all programs to ensure increased student satisfaction, concentration on course and thesis work
- maintaining ongoing contact with program directors, students external organizations, and student bodies
- assisting the Manager with Finance, Human Resources, and other matters related to the Dean’s office to ensure efficient and smooth operations of the Dean’s Office
- making travel arrangements, nationally and internationally, for the Dean, and also helping faculty members on a need basis
- assisting in planning and executing various institutional activities, including high-profile events
- regulating internal communication for and on behalf of the Dean’s office
- managing SONAM’s institutional records in hard and soft forms
- liaising with various units with SONAM to ensure that SONAM has a central repository of all documents and information
- maintaining strict confidentiality with all communications, records, and documents
- any other task assigned by the supervisor or the Dean.
Requirements:
You should have:
- a Master’s degree from an HEC recognised or foreign university
- at least five years of relevant experience in a similar role in a reputable organization
- excellent written and verbal communication skills in both English and Urdu
- High-level organizational skills with the ability to plan and prioritize tasks
- leadership qualities; ability to guide and coach junior staff
- excellent problem-solving skills
- proficiency in the use of MS Office packages like PowerPoint, Word, and Excel
- excellent interpersonal skills as you would be the person often communicating on behalf of the dean with the students, staff, faculty, and other members of the AKU community
- ability to demonstrate sound judgment in handling challenging and sensitive situations.
