Chartered in 1983, Aga Khan University (AKU) is a private, autonomous, and self-governing international university, with 13 teaching sites in 6 countries over three continents. The Brain and Mind Institute (BMI) is a trans AKU entity that seeks to build capacity in the domains of mental health and neuroscience. In collaboration with partners, the Institute is advancing research leadership capacity and support service delivery across East Africa and South Asia, and other regions served by the AKU. The Institute supports a hub for scholarship exchange and action on mental health issues, as well as educational, clinical, and community-based programs. BMI’s research focuses on the context of today’s youth in Africa and South Asia, while our programmatic offerings address mental health related and brain health issues, including stigma and resiliency. A significant area of interest is the implementation of science-based programing in hospital and community settings that translate new discoveries into prevention and treatment programs.

Responsibilities:


Job Summary:


You will be responsible for providing strategic and administrative support in various BMI activities in the areas of Human Resources, Research Administration, and communication. Also work with Multidisciplinary team and will determine diversified methods, procedures, Standard and exercise considerable independent judgement to select proper courses of action after obtaining guidance from the associate director BMI.


Responsibilities:


You will be responsible for:


  • coordinating travel arrangements, prepare itineraries, plan logistics including accommodation;
  • preparing yearly budgets in coordination with the Finance Manager and Associate Director BMI and ensuring the BMI is following organizational policies and guidelines;
  • submitting expense/ reimbursement report to finance department. Overseeing the process of MOU and their implementations;
  • overseeing HR for matters pertaining to recruitment and hiring of faculty and staff, their packages and integration into the program this includes generating PRs developing job advertisements, Job descriptions, letter of expectations, attending interviews and preparing dossiers for faculty hiring. Identifying key areas of improvement, plans, and administrative processes;
  • preparing minutes of meetings for Pakistan working group meetings;
  • coordinating annual performance appraisals for the BMI  faculty and staff;
  • overseeing daily support activities including approving PRs and ROPs for the requests. Processing severances by providing exit clearance to departing employees;
  • ensuring delivery of correct information to internal and external stakeholders by regularly updating BMI webpages and by promoting our research endeavors on social media channels, for example LinkedIn, Instagram;
  • assisting the Associate Director in implementing the course of actions to achieve BMI goals;
  • managing staffing of BMI in coordination with Finance and budgeting and planning department to ensure control over positions and on yearly budget expenses.

Requirements:


  • Minimum Bachelors or preferably Master’s Degree in Business Management, Public Health, Communication or relevant field or equivalent from an HEC recognised university/institution.
  • Preferably 03-4 years’ experience in human resources/administration at a management cadre.
  • Excellent interpersonal and communication skills.
  • Time management and problem-solving skills.
  • Exceptional rapport building with all internal/external stakeholders ability to work collaboratively with cross functional teams ability to work well in teams and highly motivated.
  • Strong critical thinking and analytical skills.
  • Demonstrative ability in being a strong team player, multi-tasking and results oriented.
  • Ability to think innovatively and translate strategic thinking into action plans and output.
  • Meticulous attention to details, be able to take initiative and work independently with minimum supervision.
