Procurement Specialist
Job Purpose
- Responsible for managing the full procurement cycle by requesting, negotiating, purchasing and following up on orders and shipments according to set policies.
- Responsible in maintaining supplier relationships, conducting stock analysis, and assisting in reporting and compliance activities to uphold organizational standards and regulatory compliance.
- Perform duties in accordance with Malia Group policies and procedures.
Duties And Responsibilities
On Procurement Operations & Local Purchases
- Handle the end-to-end procurement process, including requisition, purchase order creation, order tracking, and receipt confirmation. Ensure accurate reception of all invoices and create related PO/RC on system
- Book insurance for placed orders as applicable to ensure risk free shipments, track orders and take needed actions on the spot
- Coordinate with forwarding agents on ex-works shipments required details to ensure on time reception of related quotations and on-time shipment
- Monitor closely the clearing process to avoid any unjustified delay and take corrective actions in case of occurrence by escalating the issue
- Conduct regular stock analysis and implement control measures to reduce excess stock and improve turnover
- Negotiate effectively with local purchases suppliers for best price and quality upon any marketing material request
- Maintain strong relationships with suppliers, monitoring their performance and adherence to contract terms
- Continuously update the suppliers’ database to ensure the presence of a consistent reference for procurement
On Export Operations
- Ensure proper legal release for exports from related ministries or governmental institutions
- Coordinate with third parties (e.g. Bureau Véritas, MOH) on the needed certifications to confirm that exported shipments are compliant to standard requirement of the country of destination
- Coordinate with the forwarder to ensure the accurate and complete “export custom declaration file” is prepared and used for export
- Liaise with the Audit Department to ensure consistent and legal processing of documentations
On Reporting
- Assist in the yearly evaluation of suppliers by providing needed input on the incidents faced along the year
- Assist the procurement manager in the preparation of stock analysis reports
On Compliance
- Abide by all Malia Group and its business partners’ Policies and Procedures to reflect a professional image at all times
- Ensure compliance with relevant laws, regulations, and industry standards

BA in Supply Chain Management
Experience
Minimum 5 years of related experience
