We are looking to recruit a technical administrative assistant who will be responsible for managing the concerned department’s assets and tools, providing administrative assistance to support engineers’ correspondence, manage all technical documentation, coordinating schedules and travel arrangements and confirming appointments, etc.


Responsibilities: 


  • Prepare, maintain and manage meetings, appointments, contact lists and correspondences.
  • Assist in the preparation of regularly scheduled reports and generate reports.
  • Contribute to team effort by accomplishing related results as needed.
  • Write letters and emails on behalf of other office staff.
  • Take accurate minutes of meetings.
  • Help prepare weekly reports and other departmental projects as needed.
  • Maintain electronic and hard copy filing system.
  • Perform data entry and scan documents.
  • Maintain and manage calendar(s) in current and accurate status.
  • Assist in resolving any administrative problems.
  • Answer calls from customers regarding their inquiries.
  • Prepare and modify documents including correspondence, reports, drafts, memos and emails.
  • Perform all other related duties as assigned.
  • Verify any vacation and leaves on the system for support team.
  • Provide the HC Department with a weekly schedule for HD in coordinating with the concerned manager.
  • Check the transportation claims to be supported with business leaves
  • Provide the HC Department with the overtime logs approved from the direct managers.
  • Verify the Business trips and update the support calendar for support team.
  • Assist the HC Department with the onboarding workflow including systems.
  • Manage all HelpDesk site administration tasks such as, create users, create projects, manage the Preventive Support tickets, and maintain the customers profiles.
  • Conduct research for department needed tools and services, manage the selected tools and services.
  • Perform all other related duties as assigned.

Requirements: 


  • Bachelor’s degree in computer science, MIS or any other related field.
  • 1 to 3 years of experience in office administration.
  • Ability to handle multiple projects with superb accuracy.
  • Strong administrative skills.
  • Exceptional customer service skills, over the phone and in person, with our customers and internal departments.
  • Strong sense of urgency and problem-solving skills.
  • Excellent command of English Language.
  • Technical competency to research, prototype, install, configure, present and maintain technical support tools and services.
  • Excellent record keeping skills.
  • Excellent technical writing, proof-writing and business writing skills.
  • Excellent reporting skills.
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem solving.
  • Excellent written and verbal communication skills.
