JOB PURPOSE
To provide administrative support to the HR department, and to the whole company thereby ensuring records are maintained and information is disseminated or obtained in a timely manner. To furnish all related paperwork required for banks, travel agents, embassies, and Metlife Insurance provider to ensure minimal processing time and staff complaints.
The job holder is responsible to provide business solutions and support to line managers and staff on HR related matters which includes, Recruitment & Selection, Personal letters for banks, Performance Evaluation processing, monitoring data entry on HRIS system ,( Edocs , payroll entries and performance appraisals) .
General Administration Officer Principal Accountabilities:
1.Maintain employee records using a well organised filing system to ensure files are up-to- date and compile with legislative requirements.
2.To administer and maintain records of the Company’s medical insurance scheme and ensure that claims and enrolments are processed within agreed time limits and staff are regularly informed of any changes or additions to the scheme.
3.Manage employee’s recognition scheme (EOM), by summarising all nominations for submission to the management team for decision making on a timely manner every month. Also, ensure that all the process is followed for the employee of the year recognition scheme on an annual basis.
4.Properly maintain a pool of CVs and perform the initial screening of the candidate to support department managers in the recruitment process while ensuring the process is followed appropriately.
5.Support quality audit performance and ensure all quality measures are adhered to and followed upon consistently.
6.Provide support to employees and finalize their requests for employment papers, salary certificates, visa letters, etc in a manner acceptable within the timelines of the department.
7.Follow-up leavers process and ensure that they submit all DHL related items/materials before they leave the company. Also ensure that exit interviews are conducted and analyzed.
8.Act as administrator for the time and attendance system and ensure reports are generated in a timely manner or as requested by the department managers.
9.Maintain a record of employees’ service periods and ensure the long service awards are submitted and recognized as and when they occur.
10.Support employees and managers with their hotel and flight booking after obtaining the proper approvals. This needs to be done in accordance with the company’s procurement system and approach.
11.Help with projects &/or staff activities, e.g. Monthly EOM gathering, Annual Staff party, Ramadan Iftar, community projects etc.
12.Assist GM in his meetings, travels, and appointments.
13.Operator role in case of phones separation to head quarters
Human Resources principal Accountabilities :
1. Maintain HRIS records to ensure full utilization of the system and correct and updated data available at all times.
2. Monthly payroll processing and follow-up with department managers and Finance to ensure salaries are paid before the 24th of each month.
3. Compile data for the HR Metrics (employee turnover) reports as well as other monthly reports such as the FTE, holiday accrual, and Annual Leave tracker and ensure these reports are accurate and sent on a timely manner to the finance department to report the HR indicators accurately for the monthly report within the deadline stipulated.
4.Manage the new starter process to ensure that all new hires are provided their contracts. In addition, obtain all related documents before joining, including but not limited to the certificate of non-conviction, the ex-employment and educational references, all personal data and papers, access card forms, bank account, and local Social Security and income tax information.
5. Continuously update the Organization Chart to reflect the accurate structure of the country.
6. Follow-up Annual performance evaluation process (Personal Appraisal) with all department managers to ensure that all the forms (Competency analysis, Target Agreements, Career aspiration, development needs, and manager’s recommendation) are completed thoroughly and on time.
7.Act as the administrator for the Performance Appraisal systems
8.Manager and administer the annual Employee Opinion Survey EOS process and
Ensure the correct mapping of the employees/departments. Also, follow-up the process to ensure the maximum number of employees participate in this survey. After survey results are out, ensure proper communication of the results as well as facilitating the survey analysis and action plan.
9. Properly maintain vacation records and ensure all related forms are completed and signed appropriately. Report monthly to managers and follow-up with them their department annual leave plan to ensure 0 balance by end of the year.
10. Support the management of disciplinary and grievance issues/ warning letters
11.Manage Health and Wellbeing Program and reporting on HAWB portal.
12. Manage employee’s engagement application- Smart Connect.
NATURE AND SCOPE
a)Context
This position is primarily one of support.This position covers the administrative support required by the HR team and the whole company in terms of maintaining employee records, staff communication etc to an agreed quality and standard, checked for accuracy and delivered within agreed timeframes, using the most appropriate resource available.
This role has a direct interface with internal customers and must ensure that staff requests are catered to within agreed service levels. Also constant follow up both with staff and Management is required to ensure all legalities to be completed for staff to work is done in the minimal time. The role is key as regards staff related information as the jobholder requires to maintain it accurately and up to date at all times.

This role reports directly to the GM, dotted reporting to HR manager and has no direct reports.
