We are looking for a Documentation Coordinator Maritime Logistics join our company.
In Wilhelmsen Port Services (WPS), we provide our customers with peace of mind while we handle their cargo, their vessels and their crew. We handle 75,000 port calls per year, which means that every 7 minutes, anywhere around the world, we send a ship safely out to sea again to fulfil its purpose. We match local expertise with strict global standards, making sure we consistently make our customers’ port calls as efficient and safe as possible.
Who you are:
You will assist in the Maritime Logistics Department managing the end-to-end maritime Import documentation activities in a proactive and professional manner. You will be reporting to the Customer Service & Documentation Manager Maritime Logistics (India)

Required experience and skills:
- Good experience in a similar position for min. 2 years. Candidate with experience in Import documentation, preferred.
- Strong attention to detail and the ability to multi-task
- Excellent Communication skills and good command in English and local languages
- Sound skills with MS Office| Ability to work with the company’s software systems
- Ability to work systematically & accurately
- Customer relationship skills.
- Ability to deliver results & take faster decisions
- Systematic and Accurate
- Work well in a team environment and able to work independently.
Your key responsibilities will include:
- Continuously plan and achieve targets, in accordance with the AAP, Yearly Objectives and as per agreed KPIs.
- Monitor & inform the changes in Rules & Regulations affecting the offer and take proper action to implement them
- Sign and execute the requisite documentations pertain to the Business Streams viz., the Bill of Ladings, Delivery Orders, various shipping documents and day-today correspondences as per the Chart of Authority issued by the Business Management of the Country.
- Act within and in accordance with the SOP, and in accordance with the Job Description, as laid out by the Line Manager to achieve the documentation team goals, targets, on priority.
- Act as a backup in the documentation team, shoulder the responsibilities, execute multi-tasking, in line with the instructions of ML Line cy Manager, as applicable from time to time;
- To ensure that applicable routines are implemented effectively.
- Ensure fully support and report according to the process towards accidents/incidents investigation and reporting, customer complaints handling, improvement potentials registering; and audit findings follow up.
- Timely filing the IGM with customs with accuracy.
- Timely issuance of Delivery orders to consignees to avoid future claims.
- Checking of Principal’s SOA.
- Cargo Claims and Legal issues pertain to Maritime Logistics and Ships Agency, to be handled with 100% accuracy, timeliness and with requisite expertise.
- Monitoring & sending timely Invoices to customers.
- Timely reporting to External & Internal Customer.
- Keep Market updates towards Documentation tariff and revised it periodically.
- Keep Market updates for CFS rebate charges and revised it periodically.
