Notice Coordinator holds primarily responsibility for coordinating with notices team, US Counterparts to ensure logging notices tasks performed timely and accurately. Handles the escalations and work with leadership to provide solutions as scenarios arise.

Duties and Responsibilities, as they align with Ryan’s Key Results


People:                        


·Create a positive team experience by collaborating with team members across all levels.


·Monitor notices mailboxes and work with team members to process the notices timely and accurately.


·Assigns, reviews, and assists team members on notice logging and resolutions to ensure timely completion of tasks with highest accuracy.


·Understand the knowledge gaps and develop training materials, conduct training sessions to educate and notify team members. Monitor and track the progress of trainees and provide ongoing support and coaching.


·Conduct additional coaching sessions to help less experienced professionals to advance in their careers.


·Facilitate brainstorming sessions with Tax Associates and Seniors to gather recommendations and process efficiency ideas.


·Provide results with Managers and prioritize which ones to implement and or take forward for approval.


·Serves as the offshore Notices liaison to the US stakeholders and assists team members to achieve team targets.


·Understand any issues that arise during the process, proactively work with leadership to communicate what teams can do better to make the process easy for the team.


·Analyze and communicate constructive feedback from team members to the supervisory group on a regular basis.


·Work with leadership on their career advancement plans or Performance Improvement program.


·Coordinate with the team to provide the required reports to management.


Client:


·Partner with leaders and stakeholders to understand and meet the needs and expectations of the practice.


·Represent as the primary contact for handling escalations and respond promptly to client requests, ensuring a sense of urgency.


·Actively look for opportunities to expand the team and serve other practice areas within Tax Compliance Services.


·Work closely with the Business leaders and stakeholders to standardize process for notices across the practice.


·Analyzes business needs and executes a strategy focused on building Technical and Professional capabilities across roles within the team.


·Partners with the counterparts to ensure best practices are shared and leveraged.


·Responsible for maintaining and delivering KPI's (Key Performance Indicators) assigned to the team.


·Facilitate debrief calls, prepare presentations. Attention to detail in written and oral communication with shareholders. Make sure to do self-review of email, format updates, and spell check etc.


·Ensure team members are following workplans and deliver projects on time. Elevate issues to supervisors or US leadership to make sure team meet deadlines timely.


·Work efficiently and consistently to adhere to deadlines and perform quality assurance as required.


·Correspond with US Stakeholders regarding the status of projects, deadlines, quality assurance, resources and manage expectations.


·Gain a reputation within the team for having proficient knowledge (i.e., advance Excel skills, software skills, technical knowledge with Tax Types, understanding notices, and jurisdiction changes, etc.).


·Prepares and reviews sales and use tax returns using compliance software.


·Facilitates reports and maintains process metrics and prepares necessary project management tools as per the requirements from stakeholders.


·Looks for ways to drive process and efficiency improvement efforts across the team.

·Maintain and update the Standard Operating Procedures -SOP's and documentations to ensure all teams follow the same standards.

·Responsible for preparing and maintaining TCS process documents (training material, document management process, quality management etc.)


·Work with supervisors and counterparts to implement process improvements suggested by team members.


·Maintains high professional attire in all forms of communication and resembles a positive attitude.


·Assists leadership in transiting new tasks to Offshore by being part of transition calls/meetings, etc.


·Analyze the location needs, issues, concerns, and provide feedback during Debrief.


Education and Experience:


·Bachelor’s/ Master's degree in business administration, or a related field


·Minimum of 4-5 years of experience in working on Sales and Use Tax compliance team.


·Experience using notice management software and related tools.


·Experience on Track-it software will be an additional advantage.


Other skills:


·Should be able to provide feedback to employees on a real time basis.


·Excellent interpersonal and communication skills.


·Experience designing and delivering effective training program.


Computer Skills:


To perform this job successfully, an individual should have intermediate knowledge of Microsoft® Word, Excel, Access, PowerPoint, Zoom, and Outlook


Work Environment:


·40+ hour standard workweek requirement


·Standard indoor working environment


·This work requires individuals to be in office for most of the times.
