Senior Operations HR Coordinator - People Advice & Resource Centre (PARC)

The HR (People) Operations Coordinator plays a crucial role in delivering exceptional HR services to employees and external stakeholders. This multifaceted position involves a blend of HR administration and providing initial HR advisory support. This role is instrumental in ensuring the delivery of high-quality HR services and supports the smooth operation of HR processes.


Responsibilities:


Plays a responsible role in achieving a first-class HR service to our people, underpinned by excellent customer service and effective query resolution.


  • Looks to continuously improve the service offered by PARC, including Workday content and ways to help educate our people on where to access key HR information.
  • Partners with key HR stakeholders to collaborate on HR projects and ensure connectivity across the HR department (People Partner’s, Recruitment/TA Leads, Learning Lead, and Internal Comms), in conjunction with the PARC Operations Lead.
  • Performs general HR administration as outlined throughout this profile and as requested by the PARC Lead
  • Administer general correspondence required throughout the life cycle of employment.
  • Ensure new starters, changes to existing employees and leavers are reflected in Workday.
  • Responsible for the organizing, filing, and archiving of all HR documentation to ensure these are accurate and up to date.
  • Ensure data accuracy in Workday reflects the changes made through monthly payroll and that the system is 100% accurate at all times.
  • Manage the queries and actions PARC ‘In-box’.
  • Process sickness and absence forms.
  • Understand recruitment processes and systems in order to ensure a smooth transition to the HR environment with regards to on-boarding of New Starters.
  • Ensure timely correspondence regarding new employees, ranging from offers of employment, references, security documentation, new joiner letter and induction packs.
  • Work with the Comp & Ben Advisor to administer the company benefit schemes, liaising where appropriate and ensuring supporting documentation is provided for payroll action.
  • Manage the probationary process and relevant documentation.
  • Deliver transactional processes across the employee lifecycle against metrics and SLAs.
  • Manage level 0 and 1 employee queries, escalating them where appropriate.
  • Provides HR support to line managers, employees and HRBPs on policies, procedures, and HR processes, including absence management, family leave, flexible working requests, OH referrals, Security administration, routine HR reports and accurate record keeping, as required.
  • Adopts a confidential approach to the handling, storing, and processing to personal data (GDPR)
  • Creates onboarding experiences for new starters that promote a positive candidate experience.

Experience Requirements:


  • Experience in HR administration, ideally within HR operational or HR shared services environments
  • Ability to handle work of a sensitive and confidential nature.
  • Strong communication skills, both written and verbal
  • Flexible, enthusiastic, and positive ‘can-do’ attitude
  • Team player with the ability to work on own initiative and prioritise workload.
  • High degree of accuracy and attention to detail
  • Demonstrated decision-making and problem-solving skills.
  • Demonstrated ability to manage competing tasks and stakeholder expectations.
  • Good relationship management and communication skills, and a demonstrated commitment to a customer service mindset.

Technical Skills/Knowledge:


  • People systems experience (Workday) and knowledge and intermediate proficiency in the Microsoft suite.
  • Good standard of competence in Microsoft packages
  • Experience of managing information in databases
  • Understanding of India employment law, compliance and the GDPR data protection.
