Occupancy Planner- Senior Executive

What this job involves:


Redefining user support


  • Reporting directly to the Sr.Director, provides support in a one-on-one working relationship. The Occupancy Planner also serves as a liaison to the senior management; coordinates for space assignments based on validated business need. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication. The Occupancy Planner will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Being a core part of operations


Space Assignments


  • Allocate or reallocate individual space assignments based on validated business need
  • Determine zones or neighborhoods based on seat sharing ratio for mobile workers
  • Negotiate the transfer of space between business units
  • Communicate changes to space assignment in a block plan format, as needed
  • Space Analysis - Neighborhood Planning
  • Identify opportunity to optimize the space utilization
  • Serve as the client’s single point of contact for daily operational occupancy requests and determine the appropriate solutions to address client requests.

Tracking and reporting


  • Track, monitor and report on space requests and any associated KPIs
  • Monthly Stacking Plan
  • Monthly PPT
  • Utilization report analysis
  • Projects move planning & Co-ordination
  • MIS / Reports

Partner with Change Management


  • Support Change management team on the new projects on implementing mobile concept.
  • Support on providing required data and work together

Project Move - Co-ordination


  • Plan for the project moves during BU re-org, based on additional seats requirement, building/floor exit
  • Monitor on submitting the invoices to the finance team from the vendor

CAD drawing management      


  • Ensure on keeping updated drawings
  • Ensure on updating the floor drawings as on when there is a change

Completes a broad variety of administrative tasks for the Director including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings. •


Plans, coordinates and ensures the Sr Director schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the Sr.Director's time and office.


Communicates directly, and on behalf of Sr.Director


Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Sr. Director, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.


Provides a bridge for smooth communication between the Sr.Director's office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.


Works closely and effectively with the Sr.Director to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately.


Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the President, some of which may have organizational impact.


Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the Sr.Director


Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
